Onboarding - set up starter form

Our onboarding function allows you to create a starter form which can be sent to all starters, allowing them to enter various data that can then update the system automatically.  You will be required to enter certain details yourself as an admin user. Go to new starter process to see all the tabs that are required to onboard a new starter fully. 

From admin in the top menu bar, select set up starter form in the onboarding section. Then using the lefthand menu list, click on each heading to move through the set up.

Sections 

This screen allows you to choose the sections you want the starter to update themselves within the onboarding process. Using the available sections panel, left click and hold on a title, and drag and drop it into the selected sections panel on the right. You can hold down the Ctrl button and highlight multiple titles by left clicking on each one and drag them all at the same time. If you wish to remove a selected title you can left click on it, and drag it back to the available sections panel. Click save once you have all the relevant section titles. 

Once the titles are in the selected sections panel you can drag them up or down to reorder the list. 

You can update your onboarding sections whenever you wish to fit with the needs of your business.

Sections instructions 

Using the dropdown on the section field, you can choose each section you have selected and provide instructions. 

The text box allows you to apply basic formatting to your text. With fonts, font sizes, bold, italic, and underline functions, you can create instructions that are clear and stand out. These can be changed as you require, once completed click save. 

There is an additional section to add instructions to called declaration, this is a pre-set title and cannot be removed. However you can change or add to the text box.

Sections fields 

This section allows you to configure the fields for each section, so you can chose what the starter will need to fill out. Use the dropdown to select the section, you will then see all the available fields. As you did in the sections area, drag and drop the fields from the lefthand panel into the righthand panel. These can be reordered in the selected fields panel as well. Any fields in the righthand panel will be displayed on the starter form. When you have made the changes you need, click save. You can amend these fields whenever you need to, just remember to click save once you have finished your changes.

Email 

There are 3 email templates that you can configure. Use the dropdown in the email type field to select the email you wish to configure. 

You have: Onboarding welcome email, onboarding reminder email, & onboarding completed email. 

The first 2 emails are for the starter. You can change the subject heading if you wish, simply type in the email subject field. Within the email body, you can overkey any of the wording to bespoke this to your needs.  

We have provided mail merge options for you as well. Place and left click the cursor where you want the mail merge item to go within the email body, then click on the mail merge item you wish to add, it will then move over to the email body. 

The third email is to alert admin users and a custom email list if required that a starter has completed their onboarding forms. 

If you wish to add particular email addresses to the custom list, type in the email address required, you can add multiple email addresses separating each one with a semi colon. Click save once completed.

Preview 

You can view all your changes to the onboarding process as the starter would see them, click on preview. This will open in a new screen. 

Using the menu on the lefthand side you can click on each one to view the set up. 

Under the welcome screen menu option you will see all the sections you have chosen. When you click on each one, it will show you all the fields you have chosen for each section. 

For the declaration page you will see the wording you used in the template along with a tick box that the starter will be required to tick before submitting.
