Employee record - contract tab

The contract tab allows you to set the details of the employee's job role, hours worked, any probation details and their leaver details.  You can also use this section to set divisions, departments and record reference information. There is also a section to record the recruitment path.

Lookup dropdowns and alerts for this section

Details 

This tab allows you to enter the details of the employee's job. We recommend if there is a job change or any details to be updated you scroll to the bottom of the page and click create for a new record, allowing a history of all details. We have also provided a clone function, allowing a new record with the same details, that you can amend. 

You will see the history section at the bottom of the page, allowing you to view all records against this tab

In the general section you have the start date and end date - This end date is typically used for a short-term contract or a temporary job role change. There is a separate section for a leave date further down the page.  These date fields can have alerts configured to them

There are also options for original start dates and continuous service dates. All service years and service months are automatically calculated. 

Within details you have the ability to select multiple dropdowns regarding employee's job role. These dropdowns are fully customisable within manage lookups and can be populated by admin users, tailoring it to your business needs.  If you have our timesheet and expense functions, you can also apply the details here. Please contact support if you would like to know more about this.  

People Manager provides you with a notice section, this allows you to set up probation timeframes and configure alerts for reminders. The notice date field allows you to enter the date the employee handed in their notice. 

Within the leaver section we have provided a reason dropdown for you. When you enter the leave date, the system will automatically change their status to left 28 days after their leave date, you can also configure an alert for this field. To access a leaver's record, you can click on the show leavers box in the lefthand menu.

Organisation 

This section allows you to determine the employee's status, if they are set to a manager, they will then appear in the approver list within other employee's records. 

The email address set on this page will be used for the user's login. If you wish employees to be able to log into the system this must be set and all email addresses must be unique. A warning message will appear if the email address has been used before. 

Within structure you can set up your divisions and departments, by creating divisions and departments within manage lookups and assigning these to your employees, you can create a tree structure within the lefthand menu of employees.  You can also build reports based on divisions and departments giving you a greater insight into your business.

There is a date field to allow a history audit of changes. Any changes you wish to make, we recommend you click create or clone, when you have made your changes click save.

We have provided an area for you to capture any further information you require. The type field dropdown can be built within manage lookups and the registration field is a free text field.

References 

You can hold basic information about references within this section. The result dropdown is prepopulated 3 options. 

You have a free text note section against each reference.

Recruitment  

This section allows you to record if the employee was introduced by another employee, the dropdown will show all employees in the business. You can also use source and manage the look up by adding recruitment agencies into the dropdown list.
