Administer mandatory holidays
In this section you can set up mandatory holidays that must be taken by all employees. For example if you have Christmas shutdown you can set up a plan with the dates. You then have the option to assign this to an employee within the holiday absence - default tab, so the holiday will automatically be taken from their entitlement. As mandatory holiday plans are date specific you will need to create one every year if this is a recurring mandatory holiday.
Click on admin in your top menu bar and within the absence section click on administer mandatory holidays. To create a new plan click new, to edit an existing plan click on the plan you wish to amend.
Creating a new plan
When you click on new a panel will open on the righthand side. Give the plan a name.
There will be one box with a red dustbin, already there, click within the field and a calendar will appear for you to chose your date.
Click on the blue cross if you require any further date fields to be added. Dates do not have to be chronological or even in the same month. For example you can add a date for January and then add a date for December within one plan.
If you wish to remove a date field click on the red dustbin. When you are ready click save.
You will then need to assign this plan to an employee within the holiday section within the absence - default tab.
Please note: you can only assign one mandatory holiday plan to an employee. If you have an employee(s) that have multiple dates throughout a year that must be taken, then you will need to create one plan with all those dates.
Editing a mandatory holiday plan
Click on the title of the plan you wish to change. The name will be greyed out and cannot be changed.
You will then have the option to either add or delete dates using the cross or dustbin. If you wish to amend a date you can click in the date field and the calendar will appear. You can also click delete to remove the whole plan.
Please note: if you are making a change to a plan you will need to be mindful if the date you are amending or deleting has passed. You will also need to recalculate absences for people that have this mandatory plan assigned to them.
