How to guides
In this section of the knowledge base we have provided useful how to guides to help with general processes. The main heading is linked to the full process for admin, and bullet point links will take you to particular sections.
Appraisals guidelines for all users
Changing a contract for an employee
New starter process
This process goes through the full set up of a new starter. You can use People Manager's onboarding function to allow the new starter to fill out various personal details themselves which will then update the system. In this process we will go through the mandatory details and all basic information that you will need to fill out. However we recommend you utilise as many of the tabs within an employees record as this will help with reporting as well as having all your employee's data in one place.
Submission errors and how to correct them
This section helps you understand and rectify submission errors. These errors will arise when the information between People Manager and Pay Manager either differs or is missing from People Manager. If you are receiving an error message that you are unsure of please contact your payroll executive or support.
Time off in lieu process for all users
Year end process for absence
You will need to carry this out for all fixed absence entitlements you have set up and assigned to employees.
It is best to run this as close to the end of the holiday entitlement as possible to make sure you have captured all employees absence requests. If you have an auto- create entitlement and do not have any carry forward of days and hours, you do not need to process this, however if you wish to carry forward days/hours for all users who have a fixed entitlement, then this function will help you.
Entitlement Calculation Method
Single Sign On
You can link your PeopleLog system, or our Payslip Portal, with your Microsoft Active Directory system so that your users will not need a separate username and password. You can then put a link on your Intranet that will take your employees directly into the system. This provides a better experience for your employees.
Multi-factor authentication
People Manager supports multi-factor authentication (MFA), this is applied to your system and all users will be required to use MFA. Please speak to support if you wish to enable this, and make sure that all users have a mobile application authenticator ready for when they next login. Once applied to your system, users will not be able to log in to People Manager without using MFA and an authenticator.
