Timesheet group
For employees to be able to use timesheets you must apply a timesheet group to their contract - details tab. By creating groups you can specify the rates that a group of users have access to. If you are not using our timesheet function and wish to know more about it, please contact support. The timesheet information can be used for reporting, or if you are connected to Pay Manager it can be sent to payroll. If you are not using our payroll services and wish to know more, support can help.
Click on admin in your top menu bar and within the timesheets and expense types section click on timesheet group. To set up a new timesheet group click add, to amend an existing timesheet group click on the title.
Creating a new timesheet group
Click on add, and a panel will open on the righthand side. Give the timesheet group a name. You can use the filter to search for pay elements. Click on the pay elements you wish to use, you can click on multiple elements and move them all at once.
You then have 2 columns you can move the pay elements to.
Send to payroll - If you are using Pay Manager and require this information to be sent to payroll, put the pay elements in this column.
Reporting only - If you aren't using our PAYE offering, and want to use this purely for reporting, then use this column.
If you incorrectly move a pay element you can click on the title and move it back to the all pay element column.
Once complete, click save.
Editing or deleting a timesheet group
Click on the title you wish to amend or delete.
You cannot change the name of a timesheet group, this will be greyed out. However, you can add or remove pay elements in the same way you would on a new timesheet group.
You can click save, or if you wish to removed the timesheet group entirely click delete.
Please note: if you are using our payroll offering, and have run payrolls with these timesheet groups, please contact support before deleting or changing. Also please beware that you may have assigned a timesheet group to users, by deleting the group those users will no longer have a timesheet option, unless to allocate another one to them.
