Combining user accounts
As an administrator, you can combine user accounts so that users with multiple accounts can log into RSM InTime using a single username and password. Only administrators with gatewayuser - create role can combine users. For more information about roles, refer to changing user roles.
Important: Please ensure that you have selected the correct users, as this process cannot be reversed and errors may result in unauthorized access to another person's data.
Let us consider the scenario of combining two user accounts, say two managers into a unified login gateway. To combine users for this scenario follow the steps given below:
Go to profiles and select managers.
Click edit for one of the managers.
Click the down arrow beside actions, then choose combine users.
The combine user accounts screen appears. Here, you can see the details of the primary user, that you are going to login as.
Note: The primary user retains their login details, while the secondary accounts lose their original login details and are managed through the primary account. The primary user logs in with their original credentials and can switch between the combined accounts using a gateway login.
Then you can add secondary accounts. In this scenario, they can be other types of managers.
Note: Please note the following points while combining users:
If a worker is selected as primary, they can only switch to other workers.
If a manager is selected as primary, they can only switch to other managers.
If a limited company user is selected as primary, they can only switch to other limited company users.
If a consultant is selected as primary, they can switch to workers, managers, limited company users, or other consultants.
If an admin is selected as primary, they can switch to workers, managers, limited company users, consultants, or other admins.
At this point, you can remove any users that you have added by mistake, you would not be allowed to remove users after successful submission.
After you have selected as many secondary accounts as you want, then you can click submit.
A success message appears confirming that users have been combined. An email is sent to all the combined users.
For the combined user, account status is displayed as secondary. Secondary account status implies that these users login via a gateway.
The original manager account, in this case, has been replaced by a gateway. Now both the users will login via the gateway.
