Emails Sent from InTime

This section lists the emails that are sent from RSM InTime. The standard versions of the emails are shown for each email type.  Items that are surrounded by square brackets are substituted with the appropriate value, e.g. [[firstname]]would be replaced by the user's firstname.

Note: It is possible to disable emails, according to your organisation's requirements.



New Account Related Emails

New Worker Email

This email is sent to the Worker on the creation of the Workers account

Email Template is managed by RSM

This email is sent when a user uses the forgotten password function from the login screen. The email includes a link that will allow the user to set a new password.

Details Change Emails

This email is sent when a user changes his/her details from the My Details screen.

This email is sent to the consultant when a placement is nearing it's end date.

This email is sent when a timesheet is submitted and requires authorisation

Reminder Emails

Timesheet Daily Reminder

Emails a reminder to the contractor, advising them that they need to enter time for work that has been completed. Reminders are sent to Contractors with active placements where a timesheet has not been submitted for either of the last 2 periods. Reminders are not sent for placements with bulk entry enabled. Reminders will still be sent where a timesheet exists but is in Draft status.

By default these reminders are sent daily at 4.00pm, if configured on the worker to do so, but you can manually trigger sending of these emails by going to Timesheets > Send Reminders and clicking the Send daily timesheet reminders button.

Timesheet Due Submission

This email is sent to a contractor to advise them that they need to submit a timesheet.

By default these reminders are sent on the first date of a new period at 2.00am (i.e. on a weekly timesheet ending on a Sunday it will go out on Monday) and reminds for the outstanding timesheets for previous periods.

Approval Reminder

This email is sent to approvers who have items that they have not yet approved.

By default these reminders are sent weekly every Monday at 11 am but you can manually trigger sending of these emails by going to Timesheets > Send Reminders and clicking the Send approval reminders button.
