Contract Packs

Contract Packs can be used to group documents from the supplier pool or client pool into packs. A pack, containing multiple documents, can then be assigned to a single recipient or multiple recipients in a single process.

Creating a Contract Pack

To create a contract pack go to Compliance > Contract Packs from the menu. Any existing packs will be listed.

Then click the Create button. Give your document pack a name and select a type. Packs can only contain documents from either the supplier pool or the client pool, not both.

Click the Add Document button to add documents into the pack. All documents in the selected pool will be listed. You can find your documents using the quick search box in the top right. Click the Add button to add as many documents into the pack as required. Click the Close button when finished.

Your pack and selected documents will be listed. Click the Remove button to remove a document from the pack. When you've finished creating your pack, click the Save button.

Assigning Packs to a Single Recipient

This guide will demonstrate assigning a document pack to a placement. The process is the same for the other entities (Worker, Client, Provider).

Find the placement you wish to assign the pack to and select Documents from the actions menu.

Any documents already assigned to the placement will be listed. Select the Assign From Pack tab. The applicable contract packs will be shown. Find the pack you wish to assign and click the Assign button.

The select pack and it's documents will be listed. Some documents may require a due date and/or an expiry date. Enter these where appropriate. Select the recipient of the documents from the list and click the Assign button. Prevention of timesheet submission (where applicable) does not take affect until the due date of a document/document pack has passed.

All the documents will be assigned to the selected recipient.

Assigning Packs to Multiple Recipients

Go to Compliance > Document Packs from the menu. Your document packs will be listed. Find the document pack you wish to assign and click the Assign button.

The select pack and its documents will be listed. Some documents may require a due date and/or an expiry date. Enter these where appropriate.

Below, you can choose which entity type you wish to assign the pack to (e.g. Multiple Placements, Multiple Workers, Multiple Providers, Multiple Clients). Select the appropriate type then select the recipients to assign the pack to in the Assign column. For a given entity, there may be multiple possible recipients; for example, if a worker is operating under a provider, the document could be assigned to the worker or to a provider user. You can use the Assign All Recipients column to assign the document to all possible recipients of that entity. Once you are finished, click the Assign button to assign all the documents within the pack to all the selected recipients.
