Uploading Documents to Client/SupplierPool
Pool documents can be created when the same document is likely to be used multiple times. You can upload documents to a client document pool and/or a supplier document pool. Documents that have been uploaded to a pool can be assigned to multiple clients, workers and providers.
How do I upload documents to the client pool and the supplier pool?
The method for uploading documents to either pool is almost identical.
- From the menu bar, select Compliance; then either Supplier Document Pool or Client Document Pool.
Any documents that have already been uploaded to the pool are displayed above the upload options: - In the Upload new document(s) to the Pool area, in the Reference field, enter a reference for the document.
- In the Name field, enter a name.
- In the Version field, enter a version number for the document.
- Under Status, select whether the document is a Document or Information Request. An Information Request is not a document. It is simply a request for specific information, which you then send to recipients. A Document is an actual document, which you then need to upload to the pool. If the status is set to Document, you will need to set the Type;
- For Acceptance - the document must be accepted by the recipient
- For Information - the recipient doesn't need to accept this document it is for information only.
- Pre Accepted - the document has already been issued and signed outside of RSM InTime but needs to be accepted by the recipient to acknowledge upload.
- Click Upload to browse to the appropriate file on your machine.
- Click Upload Documents to add the document to the pool.
The document is displayed in the document pool list.
How do I assign documents from the Pool to recipients?
- From the menu bar, select Compliance > Supplier Document Pool (for workers & providers), or Compliance > Client Document Pool.
The documents that have been uploaded to the respective pools are displayed in the list. - For the appropriate document, click Assign.
- The Assign Document screen is displayed. You can use the Search Options to search for a specific client/worker/provider, alternatively you can select the Assign checkbox against clients/workers/providers to assign from the list shown. If assigning to a Client, under the Manager dropdown you can select which manager is the recipient.
- If you specified that this was a document, you can set the document Status, and enter a Due Date (which is mandatory for For Acceptance and Pre Accepted) and/or Expiry Date.
- Click Assign all Recipients if you want the document assigned to all the people in the Recipient or Manager drop-down list.
- Click Assign.
The document is assigned to the selected recipients.

Q. Is there a limit to the Contract Document File size I can upload?
A. Yes. The limit is 10mb per file.
Q. Which Contract Document File format/type can I upload?
A. Any file document types and image types are supported.
Q. Is there away to link or mass upload (e.g. via a csv file) contract documents in RSM InTime?
Bulk uploading e.g. via a .csv file is not possible. If required, a single document in the document pool can be mass assigned.
