New features details

New BACS formats available

In this release we have developed 3 new BACS formats these are: Bank of America XML payment formatBank of Ireland, & ACH BACS format

To see samples of these and all the other BACs formats we have available go to what payment (BACs) formats are available?

Invoicing

Bill on hold warning on invoice generation

Following on from our pay and bill on hold development, you will now see further detail in the invoice generation screens. If filtering on all, or yes to bill or pay on hold, you will see the detail highlighted in the same way that PO tracking is, with validation warnings.

CC additional recipients for invoicing

Previously, additional recipients for emailing invoices would all receive a separate email. Now you can enable a CC option, so all recipients receive the same email and can see the other recipients.

Go to the system configuration cog in the top right-hand corner and then to invoicing options, within the invoicing & payment section. You will see the below option with a dropdown.

Please note: this is applied to all invoicing. There will be the primary recipient in the To: section and all other additional recipients will be in the CC: section of an email. To add additional email addresses within an entity, simple separate each address with a comma.

Reporting

Ltd Company column included in CSV

We have added the column Ltd Company within the CSV export within pay - list invoices. This is the same column as displayed within the UI.

Additional columns and filters in the margin report (new)

We are continuing to develop our reporting function and in this release, we have added more columns to the margin report (new). The new columns will also appear in column tab for selection when building saved reports.

The columns are: Sales invoice batch, purchase invoice batch, tax week, tax month, tax year, parent client reference, parent client name, perm.

We have also provided 2 new filters on the ID/ref ranges tab allowing you to filter on the invoice export batch or a range of invoice export batch numbers.

Web services

Web services V3.9

We are pleased to announce that our latest Web services V3.9 is now available.

Updating expense modified date for invoicing

Previously when generating an invoice, the expenses modified date would not update. This meant when using web services to update external systems, the change was not recorded. Now there will be a modified date applied to the expense, and this will update any system connected via web services.

Password complexity rule change

When creating a password, you will now be required to use 1 of each of the following rules: upper case, lower case, number, and symbol. Your password will now need to be 10 characters long. Previously you were only required to use 3 out of the 4 rules and the password length required was 8.

Ability to attached XLSX files to timesheets and expenses

You will now be able to attach an XLSX file to a timesheet or an expense item. This is done in the same way as attaching a PDF.

In the timesheet screen this is done in the paper upload section.

In the expense screen this is done in the receipt upload section and in the paper upload section.

Improvement details

Audit history

Audit trails for on-costs

Previously when using the placement importer, there would be an update to the on-cost audit, even if there was no change on the importer. Now when importing if the on-costs remains the same no audit will be logged.

Audit history for switched users

We have added additional detail to our audit reports when someone is using the switch user feature. Previously if you had switched to another user and amended the roles against a profile, the original user would not appear on the audit trail, only the switched to account. Now the audit trail will show the original user as well.

Profile entities and modified date

Previously when sorting on the modified column on the client profiles screen, it would not show from ascending or descending. This will now work as expected.

PO transaction values now show to 2 decimal places

When using our purchase order tracking feature, previously the transaction list would show at 3 decimal places. Moving forward this will now show at 2 decimal places. We have 2 purchase order functions, for more information please go to:

purchase order numbers (standard) or purchase order numbers (enhanced)

Expenses and approval routes

In a placement you can select different approvers for expenses and timesheets. If using an expense approval route which considers alternative managers, you might have noticed the expense being sent to the timesheet alternative manager not the expense alternative one. This will now work as expected, and expenses and timesheets can be approved independently by different primary and alternative approving managers.
