New features:
RSM InTime mobile new dashboards
RSM InTime mobile allows users to process timesheets, expenses, and review remittances, contract documents and personal information. We have added 3 additional dashboards to the mobile optimised screens. Users will no longer have to go to the menu and click on view via desktop. Go to RSM InTime mobile for further information on how this feature works. If you would like to have this enabled please contact support.
Contract document dashboard
If you are using our online contracts module, users will now see a recent documents dashboard. Clicking on recent documents allows you to expand or collapse the dashboard. Clicking on each category, will expand/collapse the document list. When expanding the document list, you will see blue live links allowing you to click directly into the document details. Within the document screen you will be able to scroll down and click download document to view.
Online contracts is an additional module that allows you to request and send information and documents to workers and client managers. Please contact account management if you would like to know more.
Remittances for workers
Previously when using RSM InTime on a mobile device, worker's would click on a remittance date link within their dashboard and a PDF would download. Now the selected remittance will be displayed on-screen and will be mobile optimised to easily view on any devices. The remittance will be in the same format as shown using the desktop version.
Advice note/supplier dashboard with invoice upload option
Non self-bill workers will now be able to use RSM InTime mobile to upload their supplier invoices and review their advice notes without switching to desktop view.
The recent advice notes dashboard, has 3 status options to expand with a number shown to indicate how many items are within that section. You will have an option to click on upload, or view the uploaded invoice and also view the advice note at every stage.
When the user clicks on upload they will be able to upload their invoice in the same way they would on the desktop version.
Additional filter types within search screens
We have developed additional filters helping you refine your searches even further. These are throughout search screens and within our margin reporting.
Invoice delivery method filter
We have created an additional filter on all invoice search screens. On the main tab within any search invoice screen you will now see the filter option of deliver invoices by. When using one of the 3 options within the dropdown of email, post, and not required, your search results will only show clients, providers or ltd workers with that delivery method. These delivery methods are set within individual profiles in the invoicing tab. Go to profiles for further information on how to manage profile options.
Placement filters added to search screens
You will now be able to search via placements within all timesheet & expense search screens and the margin report. This field works in the same way as client, worker, and consultant fields do, whereby you can start to type part of the reference and it will provide you will a list of placements with that reference.
Currency filter in invoice screens and margin reporting
We have added an additional filter allowing you to specify a currency within all invoice generation and search screens. We have also added separate pay currency and charge currency filters to our margin report screen.
Hold reasons on expenses
We have now given you the ability to set hold reasons for expenses. This works in the same way as the timesheet on hold function. Within this new change status screen you have the ability to hold individual items, and allow other items within the expense claim to be processed. The status can be changed at any stage of the process and can be found in the bottom righthand corner of the expense screen.
Using the dropdown options and tick boxes, you will then be able to apply on hold for pay and/or bill, on hold reasons and a reason code. Go to on hold reasons to see how to configure your dropdowns. When you have set all your options click change status. Go to expenses on hold for further information.
New RBS International BACS format
We have developed a new international RBS BACS file format. This can be applied within your system configuration page, just click on the system configuration cog in the top right hand corner of your RSM InTime screen, go to the invoicing & payments section, and click on payment methods. Within the international BACS format select RBS_INTERNATIONAL.
RSM InTime allows you to generate a payment file for self bill, advice note workers and provider payments, this payment file can be matched to your bank's requirements allowing you to upload the file into your banking system.
For a sample of this file and further information of all our BACS formats with example files go to our BACS formats page. We encourage you to check with your bank to make sure this is the correct format for you to use and that you do a test payment to make sure this works correctly.
Improvements
Prevent deletion of exported holiday claims
We have added an additional function within our holiday claims feature, that can stop the ability to delete holiday claims in RSM InTime once they have been exported into InPay. Once the claim has been exported, the delete request button is removed from the holiday claim screen. If you are using our holiday claim feature and wish to have this additional function switched on, please ask support to enable this for you. If you are currently not using our PAYE module and would like to know more, please speak to account management.
Contract document notifications performance
You may have experienced a delay of our notifications going out for contract document. We have enhanced the performance of this function to ensure notifications are distributed correctly.
Address validation for recipients
You may have noticed when generating your invoices that validation errors were not appearing for a recipient's address. This will now work as expected for both sales and purchase invoices and advice notes.
Import error improvements
We have worked on our importers and the error messages you are receiving. You can use imports in various areas in InTime, from timesheet and expense data, placements and profile data and employment costs. Account management will be happy to help if you require further information.
Timesheet import error message
Previously you may not have received an error message when importing timesheets for a period that already has a timesheet associated. The new timesheet would not be imported, but there would be no validation message for this. If you have set the option of allow administrators to enter multiple timesheets for the same period to no in timesheet options in your systems configuration screen, when importing a timesheet you should see in the error column time has already been entered. For more information go to import timesheet data.
Invalid currency error for expense imports
Previously when importing expenses, and using the claim currency column you may not have received an error reason or the error was not highlighted in red. You will now see the red square appear within the claim currency column allowing you to edit that field and providing a dropdown of the currencies within your agency, you will also see an error message. If you proceed without rectifying the error, the expense claim will fail on the processing screen. For more information go to import expense data.
