Rate Templates

Rate Templates allow you to create a set of rates that can be applied to a placement.  Rate templates are specific to a client, i.e. they cannot be shared between different clients.  Rate templates are also currency specific.

NOTE: This feature is not available by default.  If you would like this feature enabled on your system, please contact support.

Creating a Rate Template

NOTE: Rate Templates can be maintained by Administrators only.

This function is available from System Configuration > Timesheets > Rate Templates.  When you select this option you will be presented with a list of rate templates that have already been created.  An example of this is shown below.

Here it can be seen that a template has been created for the client Network Workers and Chefs R Us.  The templates are called Hourly Pay and Daily Rate and they contain standard rates for contractors performing the chef role and working at Network Workers.

If you click on the Edit button you will see details of this rate template as shown below

Here it can be seen that this rate template contains one rate, Day Rate.  Click the Add Rate button if you wish to add an additional rate to this rate template.  When creating a rate, select this option in exactly the same way as for creating a rate on a placement.

Using a Rate Template

If you wish to apply a rate template to a placement you should go to the Edit page for that placement.  At the top of the screen you will see button Actions, click the drop down arrow and select Choose Rate from Template as shown below

When you click on this button you will be presented with the available templates as shown below:

Click on the Select button to apply the appropriate template.  All rates on the placement will be replaced with the selected rate template.  This will not affect any existing timesheets associated with this placement.

Using a Rate Template on a New Placement

If you wish to use a rate template on a new placement, firstly save the placement with a dummy rate.  Then Choose Rate from Template button is only displayed after the placement has been saved.

FAQ

Q. If I change a rate template, will it affect rates on existing placements?

A. No, changes to not alter any existing rates.

Q. If I delete a rate template, will if affect existing placements?

A. No, no existing placements will be affected.

Q. The rate template I want is not displayed in the list when I select Choose Rate from Template

A. Check that the rate template matches the currency of the placement.  Only rate templates in the same currency will be displayed.

Q. The Choose Rate from Template button is not displayed

A.  This button is only displayed after a placement has been saved.  See Using a Rate Template on a New Placement above

Q.  I can't see the menu option of the button to choose a rate template

A. This option has not been enabled on your system.  Please contact support

Q.  Is it possible to have a 3rd rate?

A. Yes, this has to be set up via the support team. The worker has to have a placement with a provider that is marked as 2nd tier/intermediary. Once enabled, there will then be three rates on the placement. One charge rate, one supplier pay and one worker rate.
