RSM InTime V23.01 Release Notes
Over the coming weeks we will be deploying our RSM InTime Release V23.01. If you are a user of RSM InTime you will see the blue banner message appear on your homepage once the release is available to you.

Key highlights
Payment reporting - You can now build and save BACS filter options within the generate payment screen, allowing you to easily generate your payment batches with specific parameters.
Original references on adjusted timesheets - You now have the option to automatically copy freehand and payroll references, as well as purchase order numbers within the timesheet adjustment wizard.

New features details
Payment generation reporting
You can now build and save a payment generation structure within the payment screen. This works the same way as report building within the margin report. This will allow you to set parameters that are always used to run a selection of purchase invoices and credits for payment generation. This is useful if you have multiple separate payment generations to run, due to differing bank accounts, currencies, or financial tags. While this option will be available for everyone, you can choose to make it mandatory to run a report before payment generation. If you would like to have the mandatory option applied, please speak to support to set this against your agency.
How to set the parameters
Firstly, select the filters you wish to apply to the report, you can use other tabs such as references and financials.
Once you have selected all your filters, go to the saved reports tab, and enter a name for the report. Using the tick boxes, you can choose if this report can be viewed by other users. Click create new report. This will save the report and it will appear in the list of reports. To view the results, click search.
Original references on an adjusted timesheet
You can now set the timesheet adjustment wizard to copy the payroll, PO number and freehand ref fields from the original timesheet. Previously the fields were empty, allowing you to enter the data against the adjusted timesheet. Now you can set the option for it to always copy the reference from the original timesheet. Go to the system configuration cog in the top righthand corner, and within the timesheet section, click on timesheet options. There are now 3 additional dropdowns one for each specific field allowing you to select yes to copy the references to the adjusted timesheet.
If any of the references exists on the original timesheet, it will be populated within the adjustment wizard and greyed out. If there is no reference applied to the original timesheet, the fields will be blank and allow you to enter a reference.
New mobile dashboard: holiday claims
Following on from our last release, we have added another dashboard to our RSM InTime mobile functionality, you will now be able to review existing holiday claims. Your dashboard will show the number of claims within each status.
Click on a status to expand the heading and show the detail of the holiday claim. Exported holiday claims will still be shown to the worker within their approved holiday claim status.
Go to RSM InTime mobile for further information on how workers can use InTime from a mobile device. If you would like to have this enabled, please contact support.
New fields added to custom reports
We have added additional fields to our custom reports module, allowing you to now report on placement sales invoice and pay invoice contact override.
Our custom report module has two features. Firstly, we can enable the standard module which provides you with a suite of reports set as default. You can run these reports at any point of your processing and export to CSV. Alternatively you can create your own reports. This allows you to select a variety of columns, order the data, and set parameters such as type of employee and date thresholds to limit the data returned.
This module is subject to an additional charge so please contact account management or support should you wish to enable this functionality.
Web services: additional data
We have added 2 additional pieces of data that be transferred through our web services.
You will now be able to update filters within the advanced tab on a placement, when creating or updating a placement.
You can also update a shift with the hours worked field, when creating or updating a timesheet.
Pre-filter shifts on timesheets
You will now be able to view pre-submission shifts (e.g., before overtime rules applied) on the timesheet screen. They will be displayed exactly as entered but greyed out and will not contribute to the pay/charge/unit totals. This will be shown on a tab called pre-filter shifts. This tab will only be seen by admins and will be read only. This tab is useful when using time patterns and filters module. The pre-filter shifts tab allows you to view only what the worker has entered before any filter or overtime rule is applied.
Filter by multiple financial tags
You can now filter using multiple financial tags within search screens, this is available anywhere that has the financial tab. Simply click in the dropdown, and select the tag you wish to use, you can select up to 10 tags within a sector. If you wish to remove any, click on the white cross within the name on the tag.
If you do not have this function in your agency, please contact support who can switch this on for you. Financial tags allow you to create additional filters and apply these against entities and can help with grouping for processing your timesheets and invoices, and for reporting structures.
Improvement details
Invoicing
Invoice dates and due date calculations
When changing the invoice date within the preview panel, you may have noticed that the due date did not recalculate accordingly. This will now work as expected.
Invoice paid date filters on list advice notes screen
You will now be able to use the invoice paid date filter within the list advice note screen. The paid date will be the generate payment date if you pay from RSM InTime. Or, if you mark invoices as paid within RSM InTime, the date you marked the invoices as paid.
Exporting invoices when sending is in progress
You will now see a meaningful error message if you try to export invoices while they are sending or try to send invoices while exporting is in progress.
When trying to export you will see the error message appear in the top righthand corner within a red box, advising you that invoices are currently being sent. When trying to send you will see an email failed message within the sending progress screen. If you click on the amber warning, you will see the details of which items failed due to currently being exported.
CSV by invoice in payment batch screen for international workers
Within the payment batch screen, you have the option to click CSV by invoice. You may have noticed that this option fails when downloading invoices for workers with international bank accounts. This will now work as expected.
Rates
Editing rate templates
Rate templates allow you to create a set of rates that can be applied to a placement, these templates are client specific. Previously when updating a client name within the rate template, this may not have updated after saving. This will now work as expected.
Timesheets
Adjustment wizard and on-costs
When using the timesheet adjustment wizard for timesheets with on-costs, you may have seen an error message and the adjustment would fail. This will now work as expected.
Adjustment wizard and rate effective dates
If you are using the effective dates for rates feature, you may have noticed that the adjustment wizard was using the effective rate for the shift date. This will now work as expected and the shift day will remain, and the effective dates will calculate the correct rate in line with the shift date. Effective dates can be used when there is a rate change for pay and/or charge after a specific date. If you want to have this enabled, please speak to support.
Expenses
Manual date entry against expenses
When using the date picker within the create expense screen, dates that are unavailable are greyed out. The manual entry of a date will now mirror this, and you will be prevented from typing any receipt date that is not selectable via the date picker.
Expenses within milestone consolidation
You may have experienced issues when generating self bill invoices that include expenses if there is a consolidation of milestone applied. This will now work as expected, with both timesheets and expenses showing on invoices. Milestones can be created with the statement of works feature within the advanced billing module. Speak to account management for further information.
Expense pdf links on email approval
When clients were approving expenses via email, the URL for the pdf of the expenses, may not have downloaded. This will now work as expected. Email approval allows approving managers to approve timesheets and expenses
Performance of reporting
Margin report speeds
We have enhanced the download function for margin reporting. You will notice an improvement on the csv download time, especially if your report has thousands of results. We have also improved the performance of the margin report when using the invoice date range search. You will now notice a reduction in the time it takes to return results.
Bespoke invoice export performance
We have improved our custom invoice export function, reducing the time it takes to export your selected invoices and being able to view the batch within your invoice export menu option.
Audit history messaging
Audit messages for user's login
If you remove the allow login option for a user, they will be unable to access RSM InTime, and will receive a message advising them that they do not have permission to complete this action. Within the audit history it showed as a successful login with the time and date of the failed attempt. This has now been changed and the audit history will show as username and password do not match.
Audit history for limited company names
We have updated the messaging within the audit history. There is now a meaningful message based on the action of whether or not a limited company name has been entered on a worker's record.
Pending approvers not showing in timesheet search screens
When running searches for submitted timesheets you may have noticed pending approvers not showing. This will now work as expected.
PO number on shifts for resubmitted timesheets
You may have noticed that Purchase order numbers entered against shifts were removed if a timesheet was resubmitted. This will now work as expected and all PO numbers entered will remain, if a timesheet is reverted and resubmitted.
Social media links
Previously you may have experienced an issue with linking your social media pages to RSM InTime. This will now work as expected. Adding social media links will show the relevant icons in the bottom righthand corner of the screen. When users click on the icon, they will be directed to the relevant social media page.
Payslip download in RSM InTime
If a payslip included a rate name that contained the & symbol, you may have been unable to download the payslip to pdf. This will now work as expected.
Missing bank details filter
Previously when filtering on missing bank details, entities with swift and IBAN details would appear as the sort code and or bank account number where missing. Now, when this filter is set to yes, entities with international bank details completed will not show as missing.
Changing purchase order values
You may have noticed that when updating the hours or amount against a purchase order number that you were unable to remove the value entirely and save successfully. You will now be able to remove the value and save the record with a blank field. Our purchase order numbers functionality has 2 levels; Standard which allows you to create and apply a purchase order number to a placement which will automatically be applied to any timesheets or expenses, this can be activated without charge by contacting support. There is also our purchase orders numbers enhanced functionality, which allows multiple POs to be applied to a placement.
