We are delighted to announce our latest release - InTime V21.05
InPay Timesheet Export Performance Improvements
Exporting timesheets/expenses to InPay now happens in batches (defaults to 100 timesheets per batch), rather than one by one. This significantly reduces the time taken to export timesheets/expenses to InPay. However, if one timesheet in the batch fails to export, the whole batch will fail to export. In these cases, you will need to correct the issue preventing timesheet export, then re-export the remaining timesheets.
If you'd prefer to revert to the previous method of exporting a single timesheet at a time, please contact support and they will configure this for you.
Invoice Improvements
Period date shown on invoice breakdown
A sheet period date displayed as mm/yyyy can now be added in the invoice breakdown. For example if a timesheet period end date was 26/09/2021, it would be shown as 09/2021 on the invoice as per the example below.
Display Invoice Consolidation on Invoice Generation
The consolidation applied to invoices is now visible on the invoice generation screen. This helps users understand why invoices are shown in the order/grouping on screen.
Additional
- Invoice consolidation checks have been improved to ensure that providers on placements are taken into account when generating invoices not just provider on worker profiles.
- Invoice export download performance has been improved.
- Where financial tags are used within the invoice body (for example the invoice layout is determined by sales department), if the tag labels are customised this is reflected in the invoice. Previously if a financial tag label was customised, the default label would be shown in the invoice. This is the same for custom labels used such as Contractor.
- When uploading a supplier invoice against an advice note, the VAT field is only read only when the user is not an admin or the agency configuration sets the field to read only.
- Purchase Order number is shown in the Invoice Schedule (when downloaded via Sales > Search > Download Schedule)
Timesheet/Expense Improvements
New Approval Route Option
There is a new option available, daysFromSubmittedDate, when creating an auto approval stage within an approval route. This option allows a rule to be in place for the automatic approval of a timesheet/expense where the number of days from submitted date is less/equals/greater than x days.
Exclude Holiday on Pay Elements
There is a new option to explicitly exclude a pay element from holiday accrual calculations when exporting sheets from InTime to InPay.
Additional
- CSV import/export via Timesheets > Agency Entry screen is now available to all admin users, not just internal admin users. The ATE batch can still only be created by internal admin users.
- If an agency is configured with a custom timesheet export script, values containing č results no longer creates a newline in the download file.
- Empty timesheets are now excluded from unauthorised lists (Timesheets > Unauthorised)
- Timesheet submission reminders are sent for ended placements where a timesheet is missing within the placement start and end dates.
- Timesheet import and exporting to InPay performance has been improved.
- When clicking on the 'Save and Approve' button on the timesheet create screen, this will now submit and approve the timesheet as expected.
- Rounding issues on timesheets where the placement has a CreateShiftsForThresholdFilter set have been resolved.
- Users were able to double click the Process Adjustment button when creating a timesheet adjustment, this resulted in duplicate timesheets being created. This button is now disabled after clicking to prevent duplication in future.
- Copy From Previous functionality now handles effective dates correctly when determining which rate to apply to shifts.
- Meal breaks are no longer applicable against fixed decimal rates.
- When expense templates are deleted, existing expense claims using the deleted template can still be viewed.
Reporting Improvements
- Timesheets and invoices with a date of 31/10/2021 are now reported correctly in the margin report.
- AWR risk notification emails will only be sent for active placements, these were previously being sent to all placements including ended placements.
- When producing a CSV file from a saved margin report, the file name will reflect the saved report name.
- Current and historic pay element settings such as payable/chargeable and exclude from margin are correctly reflected in the margin report.
- Agency Name column is populated for expenses and timesheets.
- Functionality on the AWR report screen has been improved to ensure all buttons/links perform the expected action.
- Search functionality for contract documents when using expired date filters has been improved.
- Group margin report issues have been resolved to prevent errors.
Profile Improvements
User Logout Audit Entry
When a user logs out of InTime, this is now captured in the History tab of the user profile.
New Administrator Role Template Option
There is a new option under System Administration > System > Role Templates called Overtime Rules. This option controls whether an administrator user is able to access the Overtime Rules screen via System Administration > Timesheets > Overtime Rules.
Ending Placements When Marking a Leaver
When marking a worker as a leaver in InTime, you can now specify whether to end all placements or whether to leave them active. This would be useful when making an IR35 worker a leaver which requires a P45 to be generated in InPay but leave the placement(s) active in InTime.
Submission Override shown on Contract Documents
There is a new label on the contract documents screen under details which shows whether the 'Allow Submission Override' was ticked or not when the document was assigned. This will help users determine whether the prevention of submission of timesheets behaviour is correct against a worker/placement where there are outstanding documents.
Additional
- When creating perm placements via Profiles > Placements or via Sales > Create Perm Invoice, the 'Include in Missing Timesheet Report' field is always set to exclude by default.
- Workers now have a 'Show All' button on the recent invoice widget so they can easily go to the invoice search screen.
- No error is thrown when deleting an admin user and searching for a replacement user or when deleting an admin user without selecting a replacement.
- Workers included in provider invoices can now be deleted successfully without errors.
- Worker Postcode is now shown on the worker profile search screen.
- All administrator users can change the status of a contract document, this is no longer restricted to internal admins only.
- Consultants can view worker summaries without errors.
