Pay When Paid
RSM InTime has a feature which allows you to only raise self-bill invoices when the corresponding timesheet has been paid. This function can be applied to the agency as a whole if you only process in this way, or you can have a pay when paid payment term dropdown, so it is only applicable to placements, providers and/or workers that you apply the terms to.
If you wish to have this function enabled, please speak to support.
Agency wide pay when paid
When this feature is enabled a timesheet will not be listed in the self-bill generation screen until the corresponding client invoice has been marked as paid. The exception to this is if the user has the Can Export Unpaid Timesheets role as shown below.
In this case the user will have an additional drop-down that allows a self-bill invoice to be generated regardless of whether the corresponding timesheet has been paid by the client. Typically this role would only be applied to a small number of Administrators because this allows these users to essentially by-pass the pay when paid function. This is sometimes useful for handling exceptions such as when a timesheet needs to be paid even though the client invoice has not been paid.
Selecting pay when paid payment terms
If you choose to have the pay when paid payment terms enabled, only applicable timesheets and expenses whose placement/worker/provider has a term type of pay when paid, will not be available for payments until the sales invoice as been marked as paid.
On a placement you can set this on the invoicing tab in the pay details, using the term type dropdown.
