Client Portal release notes - 6th February 2023

We are pleased to confirm the upcoming release for RSM's Client Portal. This will be available to you on Monday 6th February 2023. 

Listening to our users is important to us, we hope that you find these changes useful and they help streamline your business processes.

Key highlight: Client portal messaging functionality

We have developed additional features and made some enhancements to existing functions within our messaging feature.

Our RSM internal users can now set an out of office. Client users will now see when an RSM contact is away from the office and can easily identify who the delegate is, allowing a different recipient to be chosen to receive the message. This delegate will be added to a client user's homepage view as well, giving full visibility of who looks after each service. 

We have developed a private tick box option, this means only the recipient selected will see your message allowing you to use the client portal messaging for all your queries.

New features

Recipient dropdown option - all users

You now have the ability to select a recipient from the dropdown options. This can be done when creating a new message or when replying to an existing message by clicking on the dropdown in the recipient field. The recipient dropdown will have all the payroll executives and team leaders connected to the service and will be marked as such within brackets. (Payroll Executive) (Team Leader) or any client contacts with (Payment Approver) next to the associated client contact.

Private option for messages - all users 

We have provided a tick box to mark a message as private. When a recipient is selected a tick box option will appear, if ticked no other users will be able to see the message. This message trail will be marked as private in the history and the message preview pane. Please note: do not tick this if your message is time critical.

Reopening a previously closed message - all users 

All users will now have the ability to reopen a closed message, allowing a continuation of an existing message trail to be used. Using the search function, find and select the closed message, you will have a reply box and an option to send and re-open. Please refer to your user guide as linked above for further details.

We have added a link to the knowledge base on your homepage. The knowledge base provides documentation on how to use the client portal and over the coming months you will see newer pages and updates within this documentation.

Hierarchy, delegates & primary contacts  - RSM admin users only

As an admin user you have the ability to create and set up delegates for RSM users. By setting up hierarchy types, managers and delegates, messages can be automatically forwarded to a chosen delegate when an RSM user's out of office is on. Go to Hierarchy & delegates (Admin User) for full details. 

As an admin user you will also be able to set a primary RSM contact for a client. A new checkbox has been added in the contact users section, you can only apply primary contact status to one contact.

Setting delegates & out of offices for another RSM user - RSM users only

If you do not have an admin role you will still have the ability to set a delegate or out of office for anyone below you on a hierarchy tree. For full details go to setting a delegate and out of office for another RSM user.

Personal out of office & delegate settings - all internal users only

Any RSM user can set their own out of office message and delegate within their settings. This new feature allows you to set a timeframe, a message and select a delegate.

Improvements

Spellcheck within messages - all users

We have improved our spellcheck function within our messages. You will see that misspelt words will be highlighted in red and when you right click on the misspelt word you will have alternative options.

Print window within the message centre -  all users

You may have experienced issues with the print window within the message centre, shutting down as soon as it opened. This will now work as expected the option allows you to print the message history from a particular trail.

History of recipients within message trail - all users 

Previously the message history would only show defaults. Now all users will be able to see who is dealing with their query even if the message has been assigned to another user. This history will have details of the recipient of the message, even if a previous message in the conversation was sent to “Default”.

New error message - Internal users only 

We have improved the error message you see when trying to link a company payroll that is already linked. Previously you would have received a generic error, now the message will explain the company is already linked and to which company.

Scroll bar added to task dashboard - internal users only

We have added an additional scroll bar to the task dashboard which aligns to the company headers and remains attached even when scrolling down the dashboard. These will resize when applicable and change position when required.

Peer and final reviews to be shown on task dashboard- internal users only

You will now see the final review task will always show below the peer review task on your dashboard. This will show when any option is selected such as "my review" and "peer review not completed", and the peer review task will still display even if the final review has been completed.
