Outsourcing changes
At the moment the client portal is predominantly used for payroll services, but in order for other service lines such as Outsourcing and HR to utilise the document sharing and messaging functions of the client portal, the following changes are being released:
1. 'Payrolls' are now 'Services' with type Payroll
In all shared areas of the site, wording that referred specifically to 'payrolls' is being updated to 'services.'
Services now have a type, which can be one of: Payroll, HR or Outsourcing.
All lists where a mixture of service types is possible will show "name (type)".
Areas of the portal that are specific to payroll service lines will still use the word 'payroll', for example in the Task Dashboard.
2. 'Client Services' become 'Client Applications'
To avoid confusion the admin section previously called 'Client Services' has been renamed to 'Client Applications'. This will only affect admin users as the end users see these options as 'Applications' on the menu anyway.
3. Changes to the standard dashboard
The welcome wording on the standard dashboard has been updated to be more generic. There is also a Your Contacts section which will show details of client contacts if they have been set.
Client contacts can be set up by admin users and HR admin users in the Client Admin area.
4. Document centre changes
Outsourcing services will have their own document folder structures.
When uploading a document to an outsourcing folder, the Approval option will not be available.
5. Message centre changes
The messages types available are being updated to be relevant to the service type. So for example outsourcing will have a different list of message types to payrolls.
For outsourcing and HR service types, the period options will show month and year.
6. Outsourcing contacts
If a user has access to any outsourcing services they will see a section for outsourcing support on the Contact Support page.
Other changes
General improvements, enhancements and change requests to portal functionality:
1. Custom signature
Users can set their own message signature in the Account Settings screen. This will be added by default to each message and reply in the message centre.
2. Improved file upload
The file upload in the document centre has been updated to show improved status and progress when uploading files. It also now allows drag and drop upload. This makes the process of uploading multiple files and larger files much easier.
3. Messages can include simple formatting
Messages and replies in the message centre can now include some simple formatting options.
4. Customer Statements
The customer statements that can be produced from the Aged Debtors report have had a number of enhancements:
- Header formatting and alignment has been improved
- An optional footer can be set to be displayed on each statement page
- Both the email text and payment advice sections can include coloured text.
5. Bacs Type
Payroll services now have a Bacs Type option which can be set in the admin screen.
If RSM do not manage Bacs payments for a payroll this should be set to Non Bacs. When set to Non Bacs, tasks relevant to Bacs payments will not be shown on the Task Dashboard.
If this is set to Auto Bacs with Approval, the Approval options will be displayed and tasks that are relevant to bacs publishing and approval will be included on the Task Dashboard.
6. Show users with access to a service
To aid admin and support, a list of the client and RSM users with access to a service is now shown at the bottom of the service admin screen. The RSM user list shows the office the user is in. Access can be removed by clicking on the bin icon to the right of a user.
These lists are only shown to RSM users with admin access.
7. New Document Details report
RSM users can be granted access to a new report showing details of all documents in the document centre.
Minor changes and fixes
- In the payroll wizard it is now not mandatory to link a user to InPay
- The appearance of all confirmation messages throughout the portal has been improved
- Option to exit user impersonation added to the user's account menu (top right)
- Bug fixed - IE becomes unresponsive when searching for a user with client set to 'All'
- Bug fixed - Cannot unlink a payroll service from InPay once it's been linked
- Bug fixed - Payroll services set to not visible are still showing in the Task Dashboard
