InTime V20.07 - Release Notes

 

We are delighted to announce our latest release - InTime V20.07

General

Release Note Delivery

Release notes are now made available to administrators via the dashboard after an InTime release. If you have a demo or test system, the upgrade will be available there first.

SSL Certificate Expiry Notices

30 Days before your SSL certificate is due to expire, an info box will show on the administrator dashboard. You should renew your SSL certificate and follow the link given to upload your new certificate. Your certificate will be installed in a couple of days and the info box will disappear. If you do not upload your new SSL certificate, 14 days before it is due to expire, this will change to a warning.

Timesheet Improvements

Timesheet / Margin Report Search

All timesheet search and list screens along with the margin report have been rewritten for improved performance and usability. This allows users to search over much larger ranges in much less time. Further, there are now Select All/None/Page buttons that allow you to select every item across all pages, or just a single page. Please contact Support if you would like this enabled.

Timesheet Attachment Visibility

When uploading attachments to timesheets under Timesheets > Paper Processing, administrators/consultants can now select whether those attachments should be visible to the worker and the client. The default setting can be set in Settings → Timesheet Options.


Time Patterns Improvements

The user interface for setting up time patterns has been simplified and improved, with a visual display of the time patterns created. Using the new user interface, time patterns are put into time pattern groups, against which a client can be specified. When creating a placement, the time patterns are displayed within their own group, making selection of the appropriate time patterns against the placement rates more intuitive. Timesheet Adjustment Wizard Comments

When using the timesheet adjustment wizard, you can now add an internal comment to be shown against the adjustment timesheets.

Expense Improvements

Expense Search

All expense search and list screens have been rewritten for improved performance and usability. This allows users to search over much larger ranges in much less time. 

Limit Value of Expenses

Expense unit net value limits can now be applied within expense templates under System Configuration > Expenses. A validation error will be displayed and the unit field will be highlighted when attempting to save the expenses that exceed a set limit.

Expense Approvers

You can now specify a distinct set of expense managers/alternative managers against a placement. This allows you to have one set of client manager approvers for time, and another set of client manager approvers for expenses.

Expense Email Approval By Claim

Expense email approval can now be setup to send one approval email per expense claim rather than per item. The approver can then email approve/reject the claim as a whole. Please contact InTime Support if you would like this option configured.

Expense Rejection Reasons

When using email approval, it is now possible to create a separate set of rejection reasons applicable to expense and timesheet email approval. If no expense rejection reasons are set, the standard/timesheet rejection reasons will be used. These rejection reasons can be configured under System Configuration > General > Rejection Reasons. Invoicing Improvements

Invoice Search

There are now Select All/None/Page buttons that allow you to select every item across all pages, or just a single page.

Print Selected

InTime will no longer produce a multiple invoice pdf for printing. When using the "Print Selected" feature, the invoices will be displayed within the browser. The browser's Print/Export to PDF functionality should be used to produce the PDF (see links below for instructions for popular browsers). This results in improved performance and user experience.

Perm Invoice Consolidation

Perm invoices are now consolidated separately from invoices for standard placements under the Client profile. If you currently generate your perm invoices via the standard, Sales → Generate Invoices process, you can now specify distinct consolidation settings that will apply to the perm placements only. Purchase Orders

Purchase orders can now be tracked by both hours and/or value. 

Further, if you have the "Client Requires Purchase Order" feature enabled, you can now specify if a purchase order is required for invoicing at Placement level under the Financial tab. InTime will now prevent invoices being raised where a PO is required for invoicing is set against the client and/or placement. Please contact Support if you would like this enabled. 

Advice Notes - Automatic Adjustments

Automatic adjustments can now be applied to Advice Notes. Please contact support if you would like this feature enabled.

Payment Terms Override

Payment terms for contractors/providers can now be overridden at placement level.

Payments Improvements

Locking Payment Batches

Payment batches now default to a "locked" status. When locked, a payment batch cannot be deleted. Only users with the appropriate roles can unlock and delete a payment batch. This feature helps to prevent the accidental deletion/duplication of payments.

SMS Remittances

SMS notifications of remittance can now be sent to contractors. We currently only support the TXTLocal SMS provider. If you wish to use this feature, please create your own TXTLocal account and contact the Support team to enable this functionality and for guidance on setting up the SMS messaging in InTime. 

An option has been added to send links on remittances instead of attaching remittances to the email. This setting can be found under System Configuration > Invoicing & Payments > Remittance Options. 

Profiles Improvements

User Search

All user search and list screens have been rewritten for improved performance and usability. A new user search screen is available which makes searching for related entities, timesheets and expenses easier and more efficient, if you would like this enabled please contact InTime Support. 

Profile Validation

This function is particularly useful for agencies with front end integration. Profiles can now be validated manually by an administrator user which prevents incomplete information on profiles which could impact key InTime processes such as invoicing. New Placement Screen

A new placement create/edit screen is now available to all. The functionality and appearance of this screen is largely unchanged but is a prerequisite to using many of the new features within this release. This screen will become the default in a future release, however, in the meantime, if you would like to enable the new screen to allow new functionality immediately, please contact InTime Support. 

Field Level Permissions

For each of the entities within the profiles menu, you can now specify which fields are read/writable per user role level for Administrators and Consultants. Please see documentation here: Field Settings for Role Templates

Limited Company User (Provider User) Improvements

Timesheet / Expense Search

Ltd Co Users can now search for timesheets/expenses belonging to their contractors. Please contact support if you would like this enabled.

Invoice Search

Ltd Co Users can now search for invoices related to workers which are linked to the relevant provider company.

Custom Text

You can now create custom text for the Ltd Co User homepage under System Configuration > Appearance > Custom Text > General Screens. A Ltd Co User dashboard will follow in a future release.

Holiday Claim Improvements

Holiday Claims Form

A new holiday claims form has been added for non-InPay customers. If you wish to use this functionality within InTime please contact Support to enable it. Please see documentation here: Holiday Claims Process.

Please note, the system does not currently track holiday balances.

Administrator User Improvements

It was identified that in some circumstances, certain administrator users will not be required to be able to create timesheets within InTime. Administrators will now require the Timesheet Web Entry role to create or update timesheets via the standard timesheet entry and paper entry screens.

If you are now unable to create timesheets but require the role to do so, ask another administrator user who is able to create timesheets to grant you the user roles. Go to Profiles > Administrators. Search for the user and click on the Edit dropdown and select Change Roles


Under the Additional Timesheet Roles, tick the Web Entry role and save. You should now be able to create timesheets.

If there are no administrators within your agency that can create timesheets, please contact the Support team.

Contract Document Improvements

Change Status

Administrators can now change the status of a contract document.

Other Changes

Internal approvers (admins and consultants) can be hidden from workers on the Approval tab of timesheets/expenses. Please see documentation here: Hiding Internal Approvers

The column order for list/search pages will now be retained, even after clearing your browser cookies/cache.

Role templates now have labels, allowing you to give the role levels meaningful names.

Names and references of the entity being edited are now displayed on page titles.

Recent Remittances are now available on mobile.

Old payslips for re-instated workers are now available for viewing via the recent payslips dashboard.

Web Services V2.8 is now available.
