Time Patterns and Groups
Time patterns can be set up to control which rates are automatically applied to shifts that fall into a particular time period when entered on timesheets. Time patterns can be used in conjunction with each other and can be created as part of groups which can be limited to individual clients.
To create a time pattern group, go to System Configuration > Timesheets > Time Patterns and select Create from the screen. Under the Name field, enter your time pattern group name. In the Client field you can search for and select a client within your system if you wish to create a client specific group.
Click on Add Time Pattern to create your time pattern. The Name field is the time pattern name shown on the placement screen so should be easily identifiable. Using the From and To dropdowns, select the days which the time pattern should apply to, if the time pattern applies to one day of the week this should be selected in both fields. The Time fields are used to specific the time period that applies on each day. Click on Close once complete.
You can create multiple time patterns within the group which are shown in colour coded blocks on screen for easy reference. You can edit the time patterns using the Edit icon, alternatively you can remove any time pattern using the Delete icon. Once saved, you cannot amend the time pattern name.
To apply the time patterns to a placement, create the rates in the placement profile. You must select Time & Hours as Fields. Select the required time pattern from the dropdown list, any time patterns which are included in groups will be listed under the relevant heading. If the group is client specific, it will not be visible on placements not assigned to that client.
On the Advanced tab of the placement profile, click on the Filters + and add the Time Pattern Filter from the name dropdown leaving the Applicable When field blank. Save the placement.
Once the rates have been set up against the placement, the time patterns will be used immediately against any new timesheets. When entering timesheet data you do not need to select a rate against the shift and can proceed to enter the start, break and finish times instead. When complete, click Save and Submit. The time patterns will be calculated based on the times given and the most appropriate rates will be automatically selected as shown below.
