People Manager Release April 2025
Introduction
We are pleased to confirm the April 2025 release of People Manager. This will be available to you on April 11, 2025.

Enhancements to the payroll page
We have made a series of changes and improvements to the payroll page. To access the payroll page, go to the top menu bar and select employees. Double click the required employee from the list of employees. From the employee details on the right, click the pay → payroll tab.

Simplified versus standard starter declaration
We have introduced the ability to have a simple starter declaration or standard starter declaration based on your preference.
Starter declaration (simplified)
If you have the simplified starter declaration enabled, the payroll page just asks for an upload of the starter declaration. The uploaded document will be transferred to Client Portal.
You can upload the starter statement provided to you by the employee. Click the upload starter declaration button. The upload document dialog box appears.
Select the folder into which the document would be added. Enter document name. Click choose file to browse for the starter declaration file in your system, and then click upload. The uploaded documents will be transferred to Client Portal.
Starter declaration (standard)
If you have the standard starter declaration enabled, you can manually fill in the choices as provided to you in starter declaration by the employee. The standard starter declaration section format is closely aligned with the official starter statements provided by the new employees.
If starter declaration has not been provided by the employee, select the a starter statement has not been received check box.
Simplified versus standard P45
We have introduced the ability to have a simplified P45 section or standard P45 section based on your preference.
Simple P45 section
If you have simplified P45 enabled, the payroll page just asks for an upload of the P45. The uploaded documents will be transferred to Client Portal.
Standard P45 section
If you have the standard P45 section enabled, you can manually fill in the choices as provided to you in P45 by the employee.
New amend letter button to update NIC letters
The NIC Letter is automatically populated to align with the correct NI table letter based on the employee’s entered date of birth. However, if any changes are needed, the user can use the new amend letter button to update the NI letter.
Enable additional NIC letters
You can enable additional NIC letters in the amend letter dialog box in the employee -> pay -> payroll section. These letters include apprentice (H), freeport (F, L, and S), and investment zone (N, E, D, and K) letters. Please contact support if you wish to enable these NIC letters.
Removal of the director’s section
If you do not have any employees with director details in People Manager, this section will be hidden. If at any point in the future, you do need to enter director details, please contact support.
Removal of the off payroll section
The off payroll section will now be hidden unless you already have some employees with this option ticked. if at any point in the future you do need to enter some one as off payroll, please contact support.
Removed cash as a payment method
We no longer support cash as a payment method.
Ability to upload other documents
We have introduced a new section to upload documents on the payroll page. You can upload any documents that could affect an employee's pay here. This can be used for all types of documents, such as P45s, MATB1 forms, not just those for new starters.
Please note that you must not change the default folder, which is employee payroll.
All uploaded documents will be transferred to the Client Portal and stored in the Document Centre folder for the current pay period.
Ability to book KIT days and SPLIT days
Employees can now book keeping in touch (or KIT) days and shared parental leave in touch (or SPLIT) days overlapping their maternity or shared parental leave respectively. The system also allows you to select overlapping KIT or SPLIT days.
Note that, the absence types must be exactly as follows:
Maternity leave must be called Maternity
Shared Parental Leave must be called Shared Parental Leave
KIT days must be called KIT Day
SPLIT days must be called SPLIT Day
(Note: This will not send to Payroll unless configured)
Ability to change reporting line
This option allows you to move this employee's direct reports to another manager. If you need to change the reporting line of an individual employee, this should be done by using the contract Organisation page option. The above option is typically used when a person leaves or moves to a different role where their management line changes. The action will replace the approver for all the employees that report to this employee. Any un-approved workflows will be re-assigned to the selected approver. Please note the manager must be activated to use this functionality.
Note : Using this option will replace the current reporting line in the organisation page. You will not be able to see your previous manager. If you want to maintain the changes of reporting lines, then you will need to make the change in each employees organisational page.
However, note that if you need to change the reporting line for an individual employee, this should be done under the employee > contract > organisation page.

New quick links for admin tasks
We have introduced new links to quickly add departments, divisions, job titles, and similar items that don’t already exist. In previous releases, you could only add new items to dropdown lists using the manage lookups function. Please note that the quick links are only available to administrators with the manage lookups role.
The create new quick link is now enabled for the following fields:
Job title under contract > details
Division, region, location, department, and team under contract > organisation
Source under contract > recruitment
Course, provider, result under development > training
Certificate under development > certificates
Level under development > DBS check
Type under pay > benefits
Enhancement Details
Enhanced validation during the organisation chart display
The organisation chart will not be displayed if there is a loop in the organisational hierarchy. This can occur when two employees are set to report to each other, creating an invalid setting. For example, if employee A reports to employee B, and employee B reports to employee A. Please contact an administrator to resolve this issue.
