People Manager Release June 2023 03

We are pleased to confirm the upcoming release of People Manager. This will be available to all users by 26 June 2023.

Key highlights 

New note boxes - We have added note boxes in 5 key areas within the employee records.

Approver shown in MyHR- Employees will now see an approver field within the main tab of MyHR.

New features details

New note boxes

You will now see 5 new note boxes within the employee record screens. These comment boxes will allow free text notes to be written. You can find these within the contract - details tab. Then within the pay section: details tab, pensions tab, allowances tab, and the deductions tab. When you click save, the note along with the other details in that tab will be saved.

When an employee goes into MyHR, they will now see a greyed-out field showing their approver on the main tab.

Leave date column within timesheet status report

We have added a new column called leaver date in the timesheet status report. This will allow you to add a filter on this date when exported to CSV.

The timesheet status report is part of a suite of locked standard reports within People Manager. Go to reports for further information.

Improvement details

Assigning payroll details without an email address 

We have added additional validation to our employee records. Administrators will no longer be able to set payroll details for an employee who doesn't have an email address within the contract - organisation tab. Within the pay, payroll tab you will see a red error message advising you the employee's email address is missing. 

Syncing information between People Manager and InPay 

Payroll number updates from InPay 

If you are using our PAYE software InPay, you will now notice that if an employee's payroll number is updated in InPay, it will automatically sync and update the employee's record in People Manager.

Department and division names updating in InPay

Previously you may have experienced error messages due to the names of departments, locations, divisions being case sensitive. For example, if in InPay a department is called Data And Analytics, but in People Manager it is called Data and Analytics, People Manager would believe the department needed to be created, but InPay would reject this as the department already existed. This will no longer be case sensitive, and the two systems will recognise that the names exist regardless of capital or non-capital letters.

Ability to hide titles 

You can now request to hide titles from the summary page, and an employee's home page. This is done at company level, so all titles will be removed for all employees. If you wish to have this enabled, please speak to support.

Calendar requests 

You may have noticed calendar requests going to the manager, instead of the employee whose calendar was being requested. This will now work as expected. Go to submitting an absence & viewing calendars to see how to request to view a colleagues calendar.

Deleting documents 

When trying to delete a document against an employee, you may have been unable to do this with documents containing an & symbol within the title. This will now work as expected. Go to documents - mail merge and uploading documents for more information about this feature and how it can help your business.

Increased character length for absence type titles

Within manage lookups we have increased the absence type field to 40 characters from 20. Manage lookups give you the ability to create additional dropdown options for various entries within People Manager. 

Notification corrections 

We have updated notification messages that appear in the bottom right hand corner. Previously there were notifications such as saved successful and deleted successful. These have been updated to save or delete successful. 

Non-UK payrolls and NI numbers

If you assign a non UK payroll or no payroll at all within the pay - payroll tab, the NI number field will no longer be visible in MyHR for the employee. If you assign a UK payroll, the field will be seen as expected. 

Bradford factor alerts 

In some circumstances the Bradford factor on the alerts dashboard was not calculating correctly. This will now work as expected. Using alert configuration you can set up a variety of dashboard alerts for admin and managers.
