Understanding People Manager versions
People Manager is our Human Resources IT system. It allows you to store comprehensive details on each employee including pay and bank account details. This information flows automatically across to our payroll system (Pay Manager).
There are two versions of People Manager:
Lite – the Lite version provides a core set of features, allowing you to record information about employees including their personal details, pay and emergency contacts. It allows you to attach documents to your employees records and to run a set of standard reports.
Core – the Core version provides all the details of the Lite version, and additionally you can use it to manage holidays and sickness. You can also use the mail-merge facility to generate and attach documents to your employees records, and create custom reports.

The Timesheet module allows your employees to enter the time they start work, take a break and finish work. They can also edit their timesheet as often as they like throughout the week. When they have completed a full week, they can submit their timesheet. Usually, the employee’s manager will be asked to approve it. Variable Pay | You may have employees who receive irregular pay, for example, if they work a different number of hours each week. People Manager allows you to enter variable pay either by entering timesheets, or a payroll batch. Timesheets would typically be used when you need your employees to fill out a timesheet that must be approved by a manager. Payroll batches are a convenient way to add variable pay for a number of employees. You can either upload a spreadsheet, or enter the information directly into People Manager. | ✅ | ✅ |
Workplans allow you to record the hours that employees work. For example, you might have a full-time workplan and a weekend workplan. If you have employees who don’t have regular hours, you may also need a zero hours workplan. | ❌ | ✅ | |
Entitlement plans govern how much holiday or sickness entitlement an employee has each year. You can also use entitlement plans to manager other sorts of entitlement, such as training days. | ❌ | ✅ | |
The system can be configured with various types of absence. As a minimum, you would typically have absences for holiday and sickness. However, you can have absences to manage things like TOIL, training and compassionate leave. | ❌ | ✅ | |
Absences and payslips | Information relating to absences can be displayed on the employee’s payslip. The employee will clearly see the reason for the deduction, the dates relating to the deduction, and the amount of the deduction. | ❌ | ✅ |
Holiday for hourly staff | For your hourly staff, we will implement the standard HMRC rolling 52 week average payroll calculation, providing you are able to provide us with sufficient pay history. If you cannot provide sufficient pay history, you will have to provide the holiday rate for each employee until we have processed enough pay periods. | ❌ | ✅ |
You can upload documents to your employees records. The Core version allows you to create templated documents which can be automatically populated with data from the employee’s record. These documents can be automatically attached to the employee’s record. You can request employees to accept these documents via electronic signature. | ❌ | ✅ | |
You can configure People Manger to capture expenses that your employees may incur during their employment. Expenses are entered by the employee and, usually, approved by the employee’s line manager. These are then paid as part of your normal pay run. | ❌ | ✅ | |
The calendar show various holiday events relating to you, and other employees in your company. For example, if you are a manager, you will be able to see events relating to your team members. Employees can request access to their colleagues calendars for access when requesting absences. | ❌ | ✅ | |
