Authorised users, typically managers at the client site and consultants, can approve the timesheets and expense claims submitted by contractors.  An email is usually sent to the contractor when an item is approved.

How do I approve a contractor's timesheets?

  1. There are two methods for seeing the timesheets that are awaiting your approval:

    1. Your InTime home page dashboard contains a dashboard informing you of the number of timesheets that require authorisation. Click the dashboard to view the timesheets.



      or; 
    2. From the menu bar, click Timesheets > Authorise.
      If there are timesheets awaiting authorisation, the Authorise link is in bold and the number of timesheets awaiting authorisation is displayed.
      The Authorise Timesheets page is displayed.
  2. Select the timesheet that you want to approve.



  3. In the Password field, enter your user password.
  4. Click Approve.
    The timesheet is approved, and is removed from the list of timesheets that are awaiting approval. 

Tip: The authorise box shown above is only available if the user has the Bulk Approve role.  If the user doesn't have this role then they must click on the timesheet ID link and approve each timesheet individually.

How do I approve a contractor's expenses?

The process for approving a contractor's expenses is similar to that of approving timesheets.

  1. There are two methods for seeing the expense items that are awaiting your approval. Either:
    1. Your InTime home page dashboard contains a dashboard informing you of the number of expense items that require authorisation. Click the dashboard to view the expense items; or: 
    2. From the menu bar, click Expenses > Authorise.
      If there are expense items awaiting authorisation, the Authorise link is in bold and the number of expense items awaiting authorisation is displayed.
      The Authorise Expense Sheets page is displayed.
  2. Either:
    1. Select the expense sheet that you want to approve, to approve all items in that sheet; then enter your password and click Approve; or:
    2. Click the sheet ID to display the individual items within that expense sheet.



      On the Expense Claim page, select the individual expense items that you want to approve; enter your password and click Approve.


      The individual expense items are approved and the overall list of expense sheets is displayed. This sheet will remain in the list until all expense items have been approved or rejected.
