If a contractor submits a paper timesheet, the information on that timesheet still needs to be entered into InTime.

The Paper Entry screen enables you to upload PDF, PNG, GIF or JPG formats copies of timesheets and enter the information from those documents into InTime on behalf of the contractor.

When uploading documents it is important to size the images accordingly.  If you choose to attach these images to your invoices then the size of your invoices may be very large if you upload large PDF or image documents. The file size limit is 10mb.

Who can submit a timesheet using the paper entry method?

A Consultant or Administrator can enter timesheet data on behalf of a worker.  The user must have the following paper entry timesheet role.

How do I submit a paper based timesheet?

  1. From the menu bar, select Timesheets > Paper Processing
The Paper Timesheets screen is displayed: If you have additional timesheet files to upload you can do this here.

  2. In the Paper Sheets area, click Upload Files to upload the paper versions of the contractor’s timesheets.
You can upload individual PDFs, GIFs, JPGs or PNGs; or a zip file containing a number of those document types.
  3. An Upload Files window opens. Click on Upload. This will open the Explorer browser window where you can navigate to the necessary file.
  4. Navigate to the file and the Upload Files window is updated with the file
  5. Click on Upload to complete the upload to InTime
  6. The uploaded file is shown in the Paper Sheets window and displayed in the Paper Sheet Preview window below it.
  7. From the list of uploaded files, select the first timesheet that you want to enter details for.
  8. Tip: If you want to display the file in a different tab, click the new window button next to the Paper Sheet Preview heading, or right-click the button and select whether to open the page in a new tab or window from the shortcut menu.
  9. In the Timesheet Entry > Placement field enter the name of the placement for which you want to create a timesheet.
Tip: You can enter the contractor’s name, client name or the placement name and InTime will list suggestions based upon what you begin typing. You can select the required placement from the list.
In the Placement Details area, all the details relating to that placement are displayed.
  10. In the Timesheet Period field, select a date that falls within the date range for which you are entering your timesheet. For example, if you are filling in your timesheet for Monday 1st December to Friday 5th December, you would typically select any date between the 1st and 5th December.
  11. The timesheet is displayed. Fill in the timesheet details as described in Creating a Timesheet Using On-Line Entry.
  12. Once you have entered the timesheet, click Save to submit the timesheet and remove the timesheet file from the list, or Save and Keep to submit the timesheet but keep the timesheet file in the list. This is useful if you have one document that covers a number of contractors.
