In some situations you may want to automatically split the entered time into a standard rate and an overtime rate.  For example, you might want to configure:

  • If a contractor works more than 8 hours in a day, split 8 hours onto a standard rate and the rest onto an overtime rate
  • If a contractor works more than 40 hours in a week, split 40 hours onto the standard rate and the remainder onto the overtime rate

These rules can be configured on a per-placement or per-client basis.

This facility is only available to clients who have purchased the Time Patterns and Filters Module

Configuring a Week-Based Rule

In this example a week-based overtime rule is created.  The rule requires that placements have specific rates, one for standard hours and one for overtime hours.  These rates must have the same name for all placements to which the rule should apply.  In this example,

  • Time would be entered on the rate called Standard
  • Regular time would be paid on the rate called Standard
  • Overtime would be paid on the rate called Overtime
  • The number of hours after which overtime is paid is 40.

To configure the rule, locate the client from the Profiles->Clients page.  After navigating to the client details page, client the Filters tab.

From the drop-down choose "Replace 'pot' rate value based on weekly threshold" and click Add as shown below

Then enter the following information:

  • Pot Rate Name: Standard
  • Threshold: 40
  • Over Rate Name: Overtime
  • Under Rate Name: Standard

Applicable When should be left blank

The timesheet is then entered using the standard timesheet entry as shown below

The rule is applied after the timesheet has been submitted.  In this case the timesheet has now been updated as shown below

It can be seem that the Friday shift has been split into two: one hour on the standard rate and 5 and a half hours on the overtime rate

Configuring a Day-Based Overtime Rule

In this example a day-based overtime rule is created.  As with the weekly overtime rule, it operates on rates with specific names.  These rates must have the same name for all placements to which the rule should apply.  In this example,

  • Time would be entered on the rate called Standard
  • Regular time would be paid on the rate called Standard
  • Overtime would be paid on the rate called Overtime
  • The number of hours after which overtime is paid is 40.

To configure the rule, locate the client from the Profiles->Clients page.  After navigating to the client details page, client the Filters tab.

From the drop-down choose "Split any hours over a daily threshold into another Shift" and click Add as shown below.

 

This rule allows you to pick a particular day to which the rule should apply.  You can add multiple rules if you like by repeating this process to add a new rule.  The rule can also apply to more than one day by selecting the  All or Mon-Fri options for example.

Then enter the following information:

  • Day: All
  • Pot Rate Name: Standard
  • Threshold: 7.5
  • Over Rate Name: Overtime
  • Under Rate Name: Standard

Applicable When should be left blank

The timesheet is then entered using the standard timesheet entry as shown below

The rule is applied after the timesheet has been submitted.  The modified timesheet can be seen below.

It can be seen that the shifts on Monday and Friday have been split into 7 and a half hours on Standard and half on hour on Overtime.
