Over the coming weeks we will be deploying RSM InTime Release V23.04. If you are a user of RSM InTime you will see the blue banner message appear on your homepage once the release is available to you.

Key highlights 

Creating holidays when using RSM InTime mobile - Workers will now be able to control all aspects of their holiday claims when using a mobile device.  

Further development to our enhanced purchase order tracking feature - You will now be able to apply PO numbers to pay elements and track associated placement easily within the PO tracking screen.

New features details

RSM InTime mobile and creating holiday claims  

Following on from our V23.01 release giving workers the ability to view holiday claims via our mobile functionality, workers will now be able to create and submit a holiday claim via their mobile.

To create a holiday claim, click on the plus sign next to the title holiday claims. This will then allow you to create your holiday claim in the same way as the desktop function, where you can save your claim as a draft and then submit. 

Go to RSM InTime mobile for further information on how workers can use InTime from a mobile device. If you would like to have this enabled, please contact support.

PDF invoices and shift comments 

We have made changes to our PDF templates for invoicing generation, supporting the use of emojis. If a user enters an emoji in the shift comments, these will now appear in the timesheets attached to the invoice.

Automatic adjustments and on costs for perm invoices 

On costs and automatic adjustments set up against clients and placements will now apply to perm invoicing. These will work in exactly the same way as they do for temp processing. 

Please note: This function can be switched off. If you do not want adjustments to apply to perm invoicing, please contact support.

New international BACS format for NatWest

We have created a new NatWest international BACS format that uses the agency's IBAN number rather than the bank account. The file is called NATWEST_INTERNATIONAL_AGENCY_IBAN

Click on the system configuration cog, go to the invoicing & payments section, and select payment methods. Within the international BACS format drop down, this file will now be available for you to select. To view all BACS formats that are supported go to What Payment (BACs) Formats are Available?

Enhanced purchase order tracking development 

The enhanced purchase order tracking feature forms part of the advanced billing module, the module allows you to perform additional billing processes, such as on costs, statement of works and client self bill invoicing. If you are interested in this module, please contact account management.

PO tracking against pay elements

You will now be able to select a pay element for PO tracking. When you create the PO, you can select the applicable pay element by highlighting it in the left hand box and moving it to the right hand box. You can also apply any other parameters alongside the pay element. You then apply the PO to the applicable placements. Once applied, any shift that has the selected pay element will be tracked.

For example, you have a client that wishes to have PO1234 for basic pay and PO5678 for overtime. You apply this to 1 placement. Any timesheets within that placement that has basic pay shifts will be applied to PO1234 and any overtime shifts with be applied to PO5678.

Please note: if a worker or admin enters a PO directly on the timesheet against any shifts, this will override the tracking.

Track and control placements within PO tracking

We have added a placement section within the PO tracking screen. When you create a PO or edit an existing one, you will now see a placement section at the bottom of the screen. This allows you to easily see all the placements associated with that PO, and the option to add and remove them, without going to each individual placement. 

Using the search field find the placement you wish to add, and then click associate placement. This will add the placement to the list. You can click on remove placement if you wish to disassociate the placement from that PO. In the placement column there are blue live links allowing you to go directly to the placement. 

Deletion of tracked purchase order numbers 

We have added a delete button within the PO tracking screen. Select the PO you wish to delete, and it will remove it from entirely from the tracking and remove it from the tracked field in any placement it is associated with. 

Adjusting PO's, freehand & payroll references

Within the timesheet adjustment wizard function, you will now be able to update the following fields: freehand reference, payroll reference; and purchase order number, without making any changes to the pay and charge rate or units. A negative timesheet will be created with the previous references on, and a positive timesheet will be raised with the new references applied. To perform this task, you will need to choose either: part credit and reinvoice or full credit at reinvoice.

Improvement details

Audit history and switch to function

We have improved our audit history messages when using the switch to function. This will now clearly show the name of the administrator, and the user they have switched too as well as the action that has taken place.

Also, we have added the switch to option next to the edit dropdown for consultants. Previously only admin users had this dropdown option. This means consultants with the switch to option enabled, will be able to easily switch to from the profile list screen, rather than going into the user's profile record.

On costs for expenses and margin report 

The margin report will now show on costs for expenses. Within the margin report these are displayed in the on cost columns, previously this would not show any expenses associated with on costs. 

PDF editor and provider names

Within our enhanced online contracts module and using the PDF editor, you may have noticed the provider's name field populating, even when a provider was not applicable. This will now work as expected. 

The deletion of clients and providers 

Within our GDPR and data management functionality, a data controller has the ability to soft or hard delete entities and associated data. While deleting client and provider data you may have received error messages and the items would not delete, this will now work as expected. We have also included an additional warning message when choosing the item type of client to advise to delete all associated items. 

Login screen speed 

When entering your username, you may have experienced a delay before the enter password screen was displayed. This will now be faster.
