User Roles

User roles allow you to control the access rights and functionality that is available to a user profile within RSM InTime. Each profile is created with a default role which can be modified by an Administrator with create or write permissions against the relevant profile. Some User Roles will have no effect on the functionality or access rights of a user profile despite being enabled for. The currently logged in user is only able to assign roles to other users that they have themselves.


How do I set specific user roles against a user?

1.       Find the user and click on the arrow dropdown on the Edit button. Select Change Roles.

2.       Select, or deselect the role options (create, write, write all, read, read all, delete, adv read, adv write or switch) to set access or functionality rights against each Main Role listed on the left-hand side.

3.       Click Save.

Note: If the Role Template set against a profile has menu items disabled, this will overwrite the User Roles set. For example - if a user has Create, Write, Write All, Read and Read All user roles set against Timesheets but has a Role Template assigned to their profile where Timesheet items are disabled, the user will not be able to access Timesheets despite having the user roles in place.

The below document outlines what each user role available on the Change Roles pages in RSM InTime offers: 

Create – allows user to create items/profiles within RSM InTime. The availability of this functionality can be dependent on the role template assigned to a user. For example, a user can have the Create role for Timesheets enabled within the User Role but if the assigned Role Template does not have the Create Timesheet menu item available they will not be able to create timesheets.

Some items such as creating Client profiles only need the Create, Write & Write All User Roles enabled to allow a user to perform this function.

Write – should be used in conjunction with Create role. Allows user to update profiles and items within the system. For Timesheets & Expenses, if only the Write role has been enabled the user will only be able to update items which relate to a placement to which they are assigned.

Write All – should be used in conjunction with Create role. Allows user to update any profiles and items within the system. For Timesheets & Expenses, if the Write All role has been enabled the user will be able to create items against any placements regardless of assignment.

When enabling the Write All role, you do not also need to select the Write role.

Read – allows user to search & view items/profiles only for which they are assigned to. For example, a consultant with Read only against Placements will only be able to view placements which they are assigned to.

Read all – allows user to search & view all items/profiles, in search screens regardless of any assignments. 

Invoice Role – will only allow Consultant to create invoices relating to a placement they are assigned to.

Additional Roles – the additional Timesheet and Expense roles relate to the corresponding menu options within the Role Template. If these are not enable within the User Role, the menu option will not be available to the user.

Note: In this scenario – the Additional Roles selected will overwrite the Role Templates which are enabled.

Timesheet/Expense Web entry – if not enabled, a user can edit a timesheet/expense which has been started (Draft) through the Create menu but they cannot create a new timesheet from scratch by selecting the placement and period.
