Agencies who have a front-office system would typically apply changes to a contractor's details through the front-office system. These changes would then be sent to InTime to update InTime with the same data.
InTime can be configured so that a contractor can request that changes are made to their details rather than applying the change directly to the contractor's record. The request is held in a holding area and is not applied to that contractor's profile until it is accepted or rejected. A contractor cannot change his/her details if there is an un-actioned request for that contractor.
When using this option you must ensure you have the tasks dashboard widget enabled.
On your Agency Dashboard you will see a notification when a contractor has submitted a change to his/her details as shown below
Here you will see if there are any pending changes.
If you have changes to approve then after clicking on the above section you will see a screen with the following detail
Click on the review link to see the change that has been requested by the contractor. The image below shows that the contractor has asked for his contact details to be updated.
You may now either
- Approve the changes. The update will now be made to the contractor's record. Remember that if you have a front-office system you should ensure that the change is made there too.
- Reject the changes. If you reject a change then you will be asked for a reason. The contractor will see a notification when he next logs in to InTime. This will notify them that their change has been rejected along with the reason.
The same process can also be used for controlling changes to the contractor's bank account details.
Who Can Approve Changes
- Administrators with the Approve Details Changes role
- Consultants with the Approve Details Changes role
The tasks widget must be selected on the dashboard
