Improved process for new user first time login
- Toggle the new authentication process with setting: UseNewUserLogin
- When a new user is activated by the admin, there will be a single email sent to the user which will contain the username and a unique hyperlink
- Upon clicking on the hyperlink, user will get navigated to the validation screen. NI number and Date of Birth are used to validate the user identity.
- User can enter either valid NI number / Date of birth OR both. If NI number and DOB are populated, then both the values should be matching to allow the user to navigate to password screen.
- Entering incorrect values 3 times will cause a timeout error for subsequent attempts until a period passes. After period passes, a further 3 attempts will be permitted before an increased timeout period.
- Period is 15 mins * N number of failed attempts / 3 e.g. 12 failed login attempts = 60 minutes wait before 3 more attempts. Entering valid DoB/Ni will reset the number of failed login attempts.
- Once the password is set, user will then need to login with the username and the password.
England and Wales public holidays will be automatically added by the system
- System will automatically add bank holidays for England and Wales to the default public plan “England and Wales”
Introduced the capability for the admin to restrict holiday booking dates
- Added new screen Admin → Absence → Holiday Restrictions.
- Admin can create multiple groups and add dates to that.
- If the employee tries to book a holiday on one of the restricted dates, then the system will throw an error message and prevent the employee to submit the request
Email reminder notification of annual leave requests
- Added functionality to the Admin → Workflow → Workflow Settings screen to set the frequency of the reminder email for each absence type. The frequency can be set as 2, 3 , 4 or 5 days.
- For example, if the absence request reminder frequency is set as 2 days and the employee submits an absence request on 23/05 (Monday). The first reminder email will be sent on 26/05 (Thu), the second email will be sent on 28/05 (Sat), the third email will be sent on 30/05 (Mon), and so on.
Created a new fixed report to show all absence requests.
- Added a new fixed report - Navigate to reports 'Workflow Requests'
The report will have the following columns:
- Staff Number
- First Name
- Last Name
- Approved/Rejected By
- Pending With
- Workflow Type
- Workflow Created Date
- Start Date
- End Date
- Workflow Approved/Rejected Date
- Workflow Status - Outstanding, Approved, Rejected
The report have a filter for Workflow Type and From and To Date (Workflow created date). The default for the Workflow Type filter will be "ALL".
Moved Timesheet related configurations to new UI
- Added a new screen AdminàSystemàSystem Settings
- This option will be only available to RSM admin users
- Below configurations are available by default in the new UI

Minor changes / improvements:
- Added a “Test Connection” button on Admin → Payroll → InPay Login Details. To test the connection, you will need to select a payroll from the Payroll dropdown.
- Added a new screen in Admin → Onboarding → Archived Onboarding Forms. The new screen will show all completed forms. “Completed” in this instance means the new starter record has been created in the system and the form is hidden from the main Onboarding screen.
- Replaced the name of ‘Anniversary’ to ‘Anniversary Employment Yearly’ in Admin->Alert Configuration for new clients.
- RSM admin users can now create Lite databases from the new UI. Added a new dropdown “Database Type” on the Admin → Create New Database screen. The options are “Enterprise” or “Lite”. “Enterprise” will create the normal People Manager database. “Lite” will create the Lite version of the People Manager database.
- Corrected the Bradford calculation logic.
- Fixed an issue related to expense claims where the employee can now claim expenses on the day of the contract end date as well.
- Hidden the Copy template button on Data Import screen for client admins
- Increased the length of On-boarding email from 500 characters to 2000.
- Fixed the issue related to incorrect entitlement calculation for employees starting and leaving on the same month.
- Added the ability to stop sending On-boarding completion emails to admin users.
- Fixed an issue related to incorrect validation for employees to create reports.
- Made entry date on work permit screen in On-boarding form as a required field.
- Fixed the issue on filtering expense claim reports.
- All leavers without an email address (Employee → Contract → Organisation) will not be shown on the Employee dropdown in the Payroll Submission screen.
- All the payroll fields will be now displayed in UI as proper financial format, with 2 decimal points.
- Fixed the issue on opening the employee record in Payroll Submission screen.
- User can now edit more than one entitlement plan without needing to change screens.
- Fixed an issue on the data import results with accented characters.
