There are several options for Go-Live, your communications to your business, both internal and external, will need to manage users the user's expectations accordingly. Typically Client Clients/Agencies will follow on one of the following:-

  1. Big Bang
    1. A fixed Agreed first entry Timesheet enrty date for timesheets and cut-over date from previous system (if applicable). 
    2. All communication RSM InTime communications enabled from at Go-Live day. Profiles imported from your front end system, manual import file/manual placement input – automated welcome emails will go out from InTime .
    3. Automated Welcome and Password emails sent to all Users (Workers, Managers, Consultants) as at the point the Profiles being created within RSM InTime - this is dependent on how the records are created within RSM InTime either;A fixed first entry date for timesheets
      1. Imported from your front end system via Integration (e.g. Bullhorn, Adapt)
    InTime Controlled release 
      1. SFTP File upload 
      2. Manual Import File upload
      3. Manual entry/creation of records within RSM InTime


  2. Staggered Roll Out 
    1. Agreed first Timesheet enrty date and cut-over date from previous system

2)         InTime Controlled release – On import from front end system/manual import file/ Manual placement input – email comms disabled – you can then manually retrieve then send out user credentials for the relevant worker/manager/consultants comms.

System Email LIVE comms – ALL disabled

  

3)         Import Controlled release – import from the front end system or import file (client specific placements only – detailed by import specification) – automated emails will go out to selected users only in a staggered approach.

    1. (if applicable). 
    2. All RSM InTime communications disabled at Go-Live. 
    3. Profiles are imported/created within RSM InTime either by;
      1. Imported from your front end system via Integration (e.g. Bullhorn, Adapt)
      2. SFTP File upload 
      3. Manual Import File upload
      4. Manual entry/creation of records within RSM InTime
    4. Communications are enabled after the records have all been imported/created at an agreed date/time - opportunity to review or update any records as required within RSM InTime prior to users accessing the system.  
    5. Welcome and Password emails manually sent out to Users (Workers, Managers, Consultants) from RSM InTime by the Agency Admin Users. 
      1. Note, you can manually disable comms for specific users and/or not send out welcome emails to users which do not require access to RSM InTime


  1.  Comms Not Required
    1. Agreed first Timesheet enrty date and cut-over date from previous system (if applicable). 
    2. All RSM InTime communications disabled at Go-Live. 
    3. Profiles are imported/created within RSM InTime either by;
      1. Imported from your front end system via Integration (e.g. Bullhorn, Adapt)
      2. SFTP File upload 
      3. Manual Import File upload
      4. Manual entry/creation of records within RSM InTime


All 3 above approaches could work in parallel to any existing manual processes if so desired.
