Timesheet Improvements

Timesheets on Hold

Timesheets can be put on hold for pay/sales invoicing with a reason for holding captured against the timesheet. This can be applied at client/worker/provider, placement or individual timesheets level with filters on search screens to filter out those on hold.Image Removed. The individual timesheets or timesheets related to placements on hold can be filtered on search screen with Processing or Billing on hold. Furthermore, setting a client/worker/provider on hold does not prevent the invoicing and payment of timesheets and expenses. It is for filtering purposes only.

Storing Financial Tags on Timesheets/Expenses

A new setting screen > Settings > Stored Timesheet/Expense Values which controls how financial tags are stored against Timesheets and Expenses.

If the Placement Financial Changes setting is set to “Always use current values”, the system will use the current financial tag when a timesheet/expense is exported against it. The timesheet/expense search screens and margin report will filter items based on the current financial tags against placements. 

If set to "When the timesheet is exported", the financial tags saved against the placement at the time of exporting are saved against the timesheet/expense. The timesheet/expense search screens and margin report will filter items based on the stored financial tags against timesheets/expenses not the current placement financial tags.  

Tax Period on Timesheets

When exporting timesheets and expenses to InPay, the current tax/payroll period is captured and stored against the timesheets/expenses and shown in the field called "Tax Period". This field can be filtered against in the margin report and timesheet/expense search screen and a new column has been added to the margin report.   • Timesheet attachment for invoice now displays an Hourly Rate Breakdown
  • InTime now allows export of timesheets for leavers to InPay. Contact support to enable this feature.
  • Advanced timeout option for timesheets now includes "From Submission" which was previously only available for expenses
  • The Freehand Reference field label for timesheets has been added to the Rename Terms/Labels screen and the field can be viewable to all user types with config
  • The Timesheet ID label has been added to the Rename Terms/Label screen
  • Timesheet importer can now include start/finish times and break duration


Import Improvements

  • You can enter negative units on Timesheet imports
  • A new import field is added to create umbrella/providers. The column is LCP_PAYMENT_TYPE which refers to the Payment type of the provider

Invoice Improvements

Reason For Crediting

A new “Reason for Crediting” drop-down is available on the Adjustment Wizard when "Process Invoicing" checkbox is ticked. The reasons for crediting are a set list of reasons which can be added/removed as required and are shown on the credit note and adjusted invoice. The "Reason for Crediting" drop-down is also available when crediting an invoice via Sales/Pay > List Invoices > Credit.

  • When creating invoice adjustments, the pay element to be used can be specified using the new Pay Element drop-down. The default pay element used is SB-ADJ 
  • Payment application approvers with email addresses containing apostrophes no longer causes InTime errors
  • When updating a purchase order number via the "Update PO" button on the List Invoices screen, this will be logged in the invoice history
  • VAT and Company numbers are now captured and stored against invoices/credit notes upon creation. Any changes made to these numbers on entity profiles will not affect previously created invoices.
  • New Lloyds payment file format available
  • Advice Notes can be generated for non self bill LTD workers when the agency is set to “Allow PAYE deduction to be deducted from self-bill”
  • The "Only Show Invoices Due" option on the payments generation screen was not correctly defaulting to being ticked. This has now been fixed. This means that, by default, only invoices that are due for payment will show for payments generation. To generate payments for invoices that are not due yet, you should untick this box.

Reporting Improvements

  • DepartmentAnalysis Report and Leaderboard Report is now accessible without errors when enabled
  • Partial week timesheets are now included within the missing timesheet report
  • Timesheet End filter has been added to the Placements, Workers, Consultants and Managers search screens
  • Changes of bank details for workers are logged separately in the History tab on the profile and the Audit Report
  • Pay Review Due checkbox has been added on the AWR Report/Comparator search screen. When the checkbox is ticked it will filter out the results where the Pay Review Due has already passed

Profile Improvements

Rolled-Up Holiday

InTime currently facilitates rolled up holiday by deducting the holiday from total pay rate. A new rolled up holiday option is available so that pay rate is the unrolled-up rate with holiday added in top. Please contact Support if you need rolled up holiday enabled for your agency.

Additional

  • Workers are now able to edit personal and bank details via mobile appInTime Mobile
  • Communications for perm placement are always disabled when created via import
  • Data segregation now ignores any deleted placements and returns the correct timesheets/expenses to users
  • A default payment type for providers can now be set, please ask Support to enable this if required
  • The "Send Approval Reminder" button on the manager search screen now correctly sends reminder emails
