Payment generation reporting

You will can now have the ability to build and save a payment generation structure within the payment screen. This works the same way as reporting building within the margin report. This will allow you to set parameters that are always used to run a selection of purchase invoices and credits for payment generation. This is particular useful if you have multiple separate payment generations to run, due to differing bank accounts, currencies, or financial tags. While this option will be available for everyone, you can chose choose to make it make it mandatory to run a report before payment generation. If you would like to have the mandatory option applied, please speak to support to set this against your agency. 

How to set the parameters

Firstly, select the filters you wish to apply to the report, you can use other tabs such as references and financials.

Once you have selected all your filters, go to the saved reports tab. Give the report a name, and using the tick boxes you can choose if this report can be viewed by others. Click create new report. This will save the report and it will appear in the list of reports. To view the results, click search.

New mobile dashboard: holiday claims

Following on from our last release, we have added another dashboard to our RSM InTime mobile functionality. You , you will now have the ability be able to review existing holiday claims. Your dashboard will show the number of claims within each status. 

When clicking on a status, the heading will expand showing the detail of the holiday claim, within submitted claims you will have the ability to edit the claim. CHECK CANNOT CREATE A NEW CLAIM??

New fields added to custom reports

We have added additional fields to our custom reports module, allowing you to now report on placement sales invoice and pay invoice contact override.

Our custom report module has two features. Firstly, we can enable the standard module which provides you with a suite of reports set as default. You can run these reports at any point of your processing and export to CSV. Alternatively you can create your own reports, this allows you to select a variety of columns, order the data, and set parameters to limit the data returned such as type of employee, or date thresholds. 

This module is subject to an additional charge so please contact account management or support should you wish to enable this functionality.

Pre-filter shifts on timesheets

This new feature forms part of our time patterns and filters module. You will now be able to view pre-submission shifts (e.g., before overtime rules applied) on the timesheet screen. They will be displayed exactly as entered but greyed out and will not contribute to the pay/charge/unit totals. This will be shown on a tab called pre-filter shifts.

Filter by multiple financial tags

You can now filter on multiple financial tags within search screens, this is available anywhere that has the financial tab. The single dropdown list will be replaced with multiple dropdown list allowing you to select up to 10 tags within a sector. To have the ability to select multiple financial tags please contact support, who can switch this on for you. Financial tags allow you to create additional filters and apply these against entities , the and can help with grouping for processing your timesheets and invoices, and for reporting structures. 

Multi-factor authentication

You can now use multi-factor authentication for RSM InTime. The two-steps verification means users will enter their login details, and then be required to enter a 6-digit verification code generated by mobile authenticator app. This can be applied to the agency as a whole so all users will be required to use it, or applied to individual users? Placement adjustment wizard

This function will give you the ability to move timesheets from one placement to another. This works in a similar way to the timesheet adjustment wizard function, whereby you will have the ability to process the invoicing automatically and select a reason for crediting. Previously you may have experienced an issue with linking your social media pages to RSM InTime. This will now work as expected. Adding social media links will show the relevant icons in the bottom righthand corner of the screen. When users click on the icon, they will be directed to the relevant social media page.

We have improved our custom invoice export function, reducing the time it take takes to export your selected invoices and being able to view the batch within your invoice export menu option.

You will now see a meaningful error message if you try to export invoices while they are sending , or try to send invoices while exporting is in progress. 

When trying to export you will see the error message appear in the top righthand corner within a red box. When trying to send you will see an emails email failed message within the sending progress screen, when you click on the amber warning, you will see the details of which items failed due to currently being exported.

Adapt integration: pay rates

We have changed the way the integration reads the information from Adapt. Previously placement information was read before worker details. For example, if the worker type is PAYE different rates are required, especially if InPay is connected to RSM InTime. Now the mapping will allow all other entities to be read before the placement information, so the correct rates will be matched. Just GATTACA?

If you are using RSM InTime's timesheet importer function, you may have noted that shifts that were dated after the placement end date were not being highlighted in the upload timesheet data screen. While the data was not uploaded, there was no validation error, this has now been resolved.

The missing timesheet widget on the home screen dashboard has been updated to no longer show deleted timesheets. Previously the number shown on the dashboard included deleted timesheets, but when searching for missing timesheets the number would exclude deleted timesheets.

You may have noticed on the employment details tab that the NI table letter field is greyed out and cannot be changed, for a PAYE worker has left and come back. We have made changes to updated this function now, and you will be able to update the field if your worker NI table letter has changed.

Missing bank details filter

Previously when using the filter for missing bank details set to yes, entities with swift and IBAN details would appear as the sort code and or bank account number where missing. Now, when using the this filter set to yes, entities with international bank details completed in full will not show as missing.

Changing purchase order values

You may have noticed that when updating the hours or amount against a purchase order number that you were unable to remove the value entirely and save successfully. You will now be able to remove the value , and save the record with a blank field. Our purchase order numbers functionality has 2 levels: Standard which allows you to create and apply a purchase order number to a placement which will automatically be applied to any timesheets or expenses, this can be activated without charge by contacting support. Or purchase orders numbers enhanced which allows multiple POs to be applied to a placement. The enhanced function forms part of our advanced billing module, speak to the account management for further information.

If you remove the allow login option for a user, they will be unable to access RSM InTime, and will receive a message advising them that they do not have permission to complete this action. Within the audit history it showed as a succesful successful login with the time and date of the failed attempt. This has now been changed and the audit history will show as username and password do not match.
