Key highlights
Web services v3.12: Web services v3.12 introduces new fields for e-invoicing, on-cost invoicing, and API support for uploading and accepting supplier invoices. We recommend updating to this latest version to take advantage of the new features.

Invoices
Ability to invoice on-cost to third-party client or provider

We have introduced the ability to invoice sales and purchase on-costs to a third-party client or provider. Additionally, you can override the currency and terms at the on-cost configuration level.
Following changes have been introduced to achieve the above functionality:
We have added fields for third-party clients and currencies for sales on-cost, as well as third-party providers and currencies for purchase on-cost. Now, you can select a different client or provider to invoice sales or purchase on-cost.
As third-party on-costs appear on a separate invoice for each on-cost configuration, a consolidation option is added to client and provider advanced tab to separate each timesheet and expense on-cost onto it’s its own invoice.
You can also override pay and charge term, days, type, extra text on the on-cost configuration.

New fields for e-invoicing data

We are aware of the upcoming global e-invoicing mandates. Any requirements would need to be managed via your accounting software since the legislation includes all invoicing within your business. We have however provided additional fields within RSM InTime to allow you to enter e-invoicing information and help you keep track of applicable invoices.
To enable the new fields, go to system configuration cog → invoicing & payments → invoicing options section, and set the invoicing.einvoicing.enable field to yes.

Following fields have been included under invoicing tab for placements:
An e-invoicing filter is added to all invoice generation and invoice search screens. Items for e-invoice placements are placed in separate invoices from other placements for the same client, worker, or provider.
You can search for placements by the sales and purchase e-invoicing status.
On creation of an invoice, the e-invoicing fields are copied to the invoice. The new e-invoicing fields on invoice will be editable via the edit invoice screen.
An e-invoice acceptance filter is added to all invoice search screens. The filter options are all, accepted/not e-invoicing, and not accepted. You can configure the default value of the filter using the invoice.defaulteinvoiceacceptancefilter field available under system configuration cog → invoicing & payments → invoicing options section.
Advice notes - Only admins (and consultants if consultants.can.upload.supplier.invoices is enabled) can upload invoices against an advice note, workers and provider users get a warning. Advice notes display the following message: Advice Note <advice note number> should be uploaded electronically due to E-Invoice <e-invoice external ref>.
Adjustment wizard - You can use the adjustment wizard to change the timesheet / expense units, pay or charge for e-invoicing placements if there isn’t a sales invoice for charge changes and purchase invoice for pay changes.
All field labels and advice note label can be customized using rename terms/labels available under system configuration cog → appearance section.

We are pleased to announce the release of web services v3.12. Updating to this latest version is highly recommended to take advantage of the new features. The upgrade includes support for the new fields introduced for e-invoicing, ability to invoice on-cost to third-party client or provider, API support for uploading and accepting supplier invoices. Sort order on margin report

You can set sort order for various sortable columns in a margin report using the new sorting functionality added to the columns tab. You can save and load the reports via stored reports. Please be aware that sorting via the column header icons is no longer available.

Synchronization of mobile number for PAYE workers

This release fixes the issue of RSM InPay overwriting the mobile number of a PAYE worker when updating RSM InTime. This issue affected PAYE workers who had SMS text message as their multi-factor authentication method. The mobile number of a PAYE worker is now synchronized between RSM InTime and RSM InPay.

Ability to write off invoiced items

The functionality to write off invoiced items has been restored.
In the prior version, the option to write off pay invoices and sales invoices for credited timesheet and expense items was unavailable due to missing checkboxes. This issue has been addressed, and users can now utilize the checkboxes for pay and sales invoices to write them off accordingly.
Ability to raise invoices at parent level

You can now raise invoices for clients at the client parent level. A new checkbox invoice to parent is introduced under invoicing details for a client. When selected the invoice is raised against the parent client. If parent client is not available, the invoice is raised against the main client. The option is also introduced under the invoicing tab for placements.

We’ve made improvements to the search functionality across RSM InTime for faster and more relevant results. We are now using an advanced searching mechanism which is quicker and provides improved result ranking. The search improvements can be observed at the search box at the top of a list pages and the search filter autocomplete popups.

You can now choose expense type pay elements within the on-cost configuration screen, found under the system configuration cog in the invoicing & payments section. This feature enables the application of on-costs to expenses when the apply to expenses option is selected for an expense.

Improvements to mail merge on contract documents

Certain mail merge fields were not getting resolved in the assigned document. We have addressed the issue, and now all the inserted fields are displaying the correct values from the system.
