InPAY Pension Letter (Mail Merge Feature)

InPAY > Reporting > Letters

You will need to configure the 4 Pension letters that InPAY sends out:

  • Postponement
  • Non Eligible Job Holder
  • Enrolment
  • Re-Enrolment

To do this,

  1. Access the InPAY Pension Letters Screen
    InPAY > Reporting > Letters
  2. Use the ‘Download Fields’ button to download the InPAY mail merge fields from InPAY to use on your mail merge documents. This will be saved to your computer as a CSV labelled ‘Fields’.
  3. Preview (Download) the Templates available from InPAY, or use the existing MS Word documents within your agency or provided by your Pension provider.

Postponement, Non Eligible Job Holder, Enrolment, Re-Enrolment

  1. Open your MS Word Document (above).
    1. Go to the ‘Mailings’ tab
    2. Go to ‘Select Recipients’
    3. Go to ‘Use and Existing List…’
    4. Select the ‘Fields’ CSV downloaded from InPAY
    5. The File format should be ‘Unicode (UTF-8)’, then select ‘OK’
    6. The Field delimiter should be set to ‘,’ (comma), then select ‘OK’

The Field are now ready to be utilised in your Word Document.

  1. To utilise the Mail Merge feature;
    1. Locate on the MS Word Document where you would like to populate the InPAY Data
    2. Go to the ‘Mailings’ tab
    3. Go to ‘Insert Merge Field’
    4. Select the field (data point) you would like pulled through
    5. Repeat this step until the all fields are mapped/merged in the MS Word Document.
  2. Save the MS Word Document as ‘.docx’ file.
  3. Upload the Mail Merged MS Word Doc into InPAY
    InPAY > Reporting > Letters
    1. Populate/Set the name of the Letter
    2. Set the Type (e.g. Postponement)
    3. Tick - Send to the Payslip Portal on commit
    4. Ensure you select ‘Save’
  4. Repeat steps 4 to 7 for all your Pension Letters.

You will be able to preview the a letter that has been uploaded.

I’d recommend that you test this on the InPAY TEST system, as you will then be able to see the Pension Letter via RSM InTime on the Payslip Portal/Worker Dashboard.
