RSM InTime V25.09 Release Notes
Introduction
Over the coming weeks we will be deploying RSM InTime Release V25.09. If you are a user of RSM InTime you will see a blue banner message appear on your homepage once the release is available to you.
Listening to our users is important to us, and therefore we hope that you find these changes useful, and they help streamline your business processes. Key highlights
Multiple tax rate for invoice lines: We have introduced a multiple tax rate feature that lets you apply several tax codes (for example, federal and state, GST and HST) to the same invoice line, with tax codes configurable at client, provider, worker, placement, advice note and payment application level.
Expenses: We have introduced new expense validation rules feature that provides flexible, configurable validation for expenses in RSM InTime. This feature allows you to enforce business rules and compliance requirements by validating expense data at various levels. For more information about the new feature, refer to expense validation rules.
Integration with AccessPay Unified Payments: RSM InTime now enables integration with AccessPay Unified Payments Platform via API, allowing agencies to transfer Bacs files directly to their banking software using their own AccessPay accounts.

New Feature Details
Allow multiple tax rates for a single line on invoice
We have introduced the ability to have multiple tax rates, such as federal and state tax, GST and HST for the same line on an invoice. Please contact support if you wish to enable this feature.
If the feature is enabled, you can configure multiple tax codes at different levels, such as clients, providers, workers, and placement. While creating invoices, the tax codes are considered for calculation in the following hierarchy:
Rate tax code
Placement tax code
Client (for sales tax codes) and worker/provider (for purchase tax codes)
When no tax codes defined, the system will use the VAT code.

Custom text libraries for timesheet, shift, and expense entry
We have introduced a new custom text libraries (system configuration cog → appearance) feature that enables you to configure up to six custom text fields that apply to timesheets, shifts, or expense items. While creating these fields, you can configure labels, enablement options, and define any required dependencies. You can set up a list of permitted values for these fields, with the option to specify effective dates.
These libraries can then be linked to placements and will only apply if active and relevant to the specific entry type. According to the custom text library settings, these fields will appear on the timesheet, shift, or expense entry screens, allowing users to select from predefined options, which are filtered based on date and parent field selections.

New expense validation rules
In continuation to the timesheet validation rules introduced in v25.07 release, we have introduced a new expense validation rules (system configuration cog → expenses) feature that provides flexible, configurable validation for expense items in RSM InTime. This feature allows you to enforce business rules and compliance requirements by validating expense data at various levels.
Validation rules are organised into rulesets which are assigned to placements. When a worker submits an expense, the system automatically validates it against the rules configured for that placement.
Ability to revert holiday claim status
We have introduced the ability to revert the status of a holiday claim using the new revert option added under the actions column in the pay → holiday claims screen. Approved holiday claims can be marked as exported.

New Type 5 student loan for PAYE workers
We have enabled plan 5 student loan for PAYE workers.
To enable, go to profiles -> workers. Select worker type as PAYE. Go to the employment details tab. Select checkboxes I have a student loan which is not fully repaid and I finished my studies before last 6 April. You will now see the option Plan 5 in the What type of student loan do you have? dropdown.
SSL certificate renewals
We have updated the management of SSL certificate renewal notifications. We will no longer be displaying the banner alert in RSM InTime to confirm that your SSL certification is due to expire. For RSM InTime clients, RSM can now oversee the renewal process on your behalf using Let's Encrypt. For further information, please refer to SSL certificates.
Web services V3.17
We are pleased to announce the release of web services v3.17. Updating to this latest version is highly recommended to take advantage of the new features. The upgrade includes the following changes:
Ability to create custom text libraries for timesheet, shift, and expense entry
Ability to create validation rules for timesheets and expense
Ability to provide alternative holiday accrual rates
Integration of RSM InTime with AccessPay Unified Payments
RSM InTime now supports integration with AccessPay Unified Payments Platform (UPP) using AccessPay API. This allows for seamless transfer of Bacs file data to your banking software. Please note that agencies will need their own AccessPay account.
To create AccessPay integration, go to system configuration cog -> system -> OAuth2 integrations. Click new.
Click create to create a new AccessPay integration.
