RSM InTime V25.08 Release Notes

Introduction

Over the coming weeks we will be deploying RSM InTime Release V25.08. If you are a user of RSM InTime you will see a blue banner message appear on your homepage once the release is available to you.

Listening to our users is important to us, and therefore we hope that you find these changes useful, and they help streamline your business processes. Key highlights

Purchase orders within timesheets: We have introduced a new dropdown menu for managing purchase order entry on worker timesheets, offering flexible options to control the visibility and requirement of the purchase order number field.

Holiday accrual: We have now introduced the ability to configure and override alternative holiday accrual rates at various levels. The system identifies the applicable rate by searching through a defined hierarchy until it locates an override.

New Feature Details

New configuration for managing purchase order entry on worker timesheets

We have introduced a new dropdown menu called worker timesheet PO entry. This can be found in the purchase order options section under profilesclientsadvanced tab. This dropdown controls the availability of the purchase order number field on the worker’s timesheet.

You can choose from the following options:

Agency default: The visibility of the purchase order number field depends on the TimesheetEntry.WorkerPOEntry setting under system configuration cogtimesheetstimesheet options.

Disabled: The worker will not be able to see the purchase order number. The freehand reference, timesheet CustomText, and shift CustomText fields will also be disabled.

Enabled: The worker will be able to view the purchase order number field only, and the field will be greyed out.

Required: The worker will be able to view the purchase order number field and must provide a value before submitting the timesheet.

Ability to provide alternative holiday accrual rates

We have introduced the ability to provide alternative holiday accrual rates based on the pay elements.

We have made the following updates to support the alternative holiday accrual:

  • A new flag, alternative accrual, has been introduced for both InPay and RSM InTime timesheet pay elements under system configuration -> pay elementsimport pay elements from InPay (InPay pay elements) screen.

  • Alternative holiday accrual rate and alternative holiday accrual rate post AWR fields have been added to the holiday accrual section under the profiles placementadvanced tab.

  • Override alternative accrual rate and override alternative post AWR accrual rate fields have been introduced to the holiday section under the profiles workers employment details tab.

  • Alternative holiday pay accrual settings are now available under system configuration cogInPay settingsInPay export configuration. Note that, as this is an agency-level configuration, any changes made to these values will affect all companies associated with the agency.

  • The holiday column in the margin report now shows the holiday pay, accurately calculated using shift-level accrual rates.

The alternative holiday accrual rates can be set and overridden at multiple levels. When applying the holiday accrual, RSM InTime searches for the applicable rate, starting from the rate level and progresses up through the hierarchy (1 to 4) as listed below until it finds an override.

  1. Holiday accrual value at the rate level within the placement record. The ability to set holiday accrual at rate level on placements was introduced in RSM InTime V25.07 release. For more information, refer to ability to set holiday accrual at rate level on placements.

  2. Holiday accrual values specified in the holiday accrual section under the profiles placement advanced tab.

    1. If alternative accrual checkbox is selected for a pay element, the system will consider the alternative holiday accrual rate and alternative holiday accrual rate post AWR fields.

    2. If alternative accrual checkbox is not selected for a pay element, the system will consider the holiday accrual rate and holiday accrual rate post AWR fields.

  3. Holiday accrual values specified in the holiday section under the profiles workers employment details tab.

  4. Holiday accrual values specified under system configuration cog → InPay settings → InPay export configuration.

Enhancement Details

Added new fields to the placement table in custom reports

We have added new fields: default purchase order, invoice requires purchase order, and purchase orders to the placement table in the custom report module.

Custom reports

Please note that the custom report functionality is an additional module. If you would like to know more or enable this functionality, please contact our account management team.

New columns on margin report for split commissions

You can now use the consultant custom text fields (1-5) and display them as columns within a spilt commission margin report.

If you have set up the custom text fields for consultant under the system configuration cog > appearance > entity custom fields screen, these fields are now reportable in split commission margin reports. To make them visible, go to margin reports > columns > visible columns, where they will appear with the prefix commission consultant.
