RSM InTime V25.06 Release Notes
Introduction
Over the coming weeks we will be deploying RSM InTime Release V25.06. If you are a user of RSM InTime you will see a blue banner message appear on your homepage once the release is available to you.
Listening to our users is important to us, and therefore we hope that you find these changes useful, and they help streamline your business processes. Key highlights
Margin reports: We have added custom text fields for consultant, manager, provider, worker, and placement in margin reports. We have also included the placement custom text fields as filters to the timesheet search screen.
Placements: The client and worker fields in placement records are now editable until a timesheet or expense is created, instead of becoming read-only immediately after placement creation.

New Feature Details
Ability to add hold reason code and hold reason for providers
We have introduced a new hold section under the advanced tab for providers. This section is used to specify a hold reason code and a hold reason for providers. The bill on hold checkbox to mark a provider on hold has also been relocated to this section.

Ability to filter by payment method
We have added a new dropdown payment method to the pay -> generate payments screen. This filter allows you to filter invoices by the payment method used by the provider or worker when creating the invoices.
New custom text fields introduced in margin reports
If you have set up the custom text fields for consultant, manager, provider, worker, and placement under the system configuration cog > appearance > entity custom fields screen, you can now see them in margin reports.
We have also added filters to the timesheet search screen to allow you to search for timesheets using the placement custom texts. Please contact support if you want to enable these filters on the timesheet search screen.
Worker role management through web services
The system now allows setting different types of roles for workers (Worker.Role1 - Worker.Role9), each with specific permissions, through web services. For full list of web service specifications, refer to InTime web services.

Enhancement Details
Edit client and worker fields in placement records
The client and worker fields within placement records will now remain editable until a timesheet or expense is created. Previously, these fields became read-only immediately after saving a new placement. With this update, they will stay editable until a timesheet or expense is entered, at which point they become locked.
This improvement allows corrections if the wrong worker or client is selected during the creation of a placement, eliminating the need to generate a new placement to rectify such errors.
Improvements to the holiday claim process
We have improved the holiday claim process to address an issue where approval emails were being sent out multiple times. Now, the approval email is only sent when a holiday claim is approved. Previously, exporting holiday claims from the list page could trigger duplicate approval email.
Improvements to RSM InTime multi-factor authentication (MFA)
If a worker does not have MFA set up, the MFA setup page will appear when they try to log in to the RSM InTime system with their username and password. On this page, the worker is prompted to choose an authentication method. For the SMS authentication option, the mobile number field is now set to read-only, as illustrated below. If the mobile number field is either blank or incorrect, users must contact the agency for assistance.
The administrator can update the mobile number in the worker’s profile. To edit a worker’s profile, go to profiles → worker → edit. Provide a valid mobile number in mobile field.
Invoices
Improvements to supplier invoices
You can now download supplier invoices as a zip file and print the invoices. These options were previously not working as intended.
Ability to provide comments when rejecting a supplier invoice
When a supplier invoice is uploaded to an advice note, you have the option to either accept or delete it. If you choose to delete the invoice, you are now required to provide a reason for the rejection. Additionally, you may tick the notify sender checkbox to send an email to the invoicing contact (either the worker or provider), which will include the advice note details along with the rejection reason.
Improvements to invoice due date calculation for 'pay when paid' terms type
The invoice due date calculation for pay when paid terms type is now based on term days rather than defaulting to the invoice date.
For example, with the below placement invoicing terms, if the sales invoice is marked as paid on the 8th October, the self-bill invoice is calculated to be due on the 23rd October.
Improvement to foreign currency invoices
We have improved the handling of foreign currency invoices to ensure audit messages accurately reflect any changes made. Previously, when editing a foreign currency invoice, an audit message would state 'exchange rate override removed' even if no changes were made to the exchange rate. Now, when you edit a foreign currency invoice, for example by adding a comment without altering the exchange rate, the audit log will only record exchange rate modifications if they have occurred.
