Introduction

Over the coming weeks we will be deploying RSM InTime Release V25.05. If you are a user of RSM InTime you will see a blue banner message appear on your homepage once the release is available to you.

Listening to our users is important to us, and therefore we hope that you find these changes useful, and they help streamline your business processes. We always value feedback, so please contact account management if you wish to discuss anything further.  All previous release notes can be found here: RSM InTime release notes.

Key highlights

Bank accounts: We have added address fields to the bank account section, along with a new history tab to display audit history for users.

Placements: We have added a new auto bill and auto pay section the placements -> invoicing tab, enabling automatic invoice creation upon timesheet approval.

On-costs on invoices: We have introduced a new configuration option that allows on-costs on invoices to be itemised either by description only or by both sheet and description.

New Feature Details

Ability to configure additional file types for upload

By default, RSM InTime allows the following file types to be uploaded: pdf, jpg, jpeg, gif, png, bmp, docx, xlsx, xls, doc, csv, tsv and txt. Any files that do not match these supported formats are rejected by the system. However, if you want to enable uploads of additional file types, such as msg, mp4, you can do so using the new file upload configuration screen.

We strongly recommend that you only upload the default file formats to prevent the introduction of potentially harmful content. However, if you add any additional file types, you are accepting any associated risks on behalf of your organisation.

Go to the system configuration cog → general section, and click file upload types. Enter the additional file formats to be supported, separated by commas if there are multiple. Click save when finished.

The system will now support the additional formats, in addition to the default formats.

View link for holiday claim attachments

We have added a view link for the holiday claim attachments to the holiday claim summary table. This allows users to view uploaded documents directly from approval or rejection emails related to holiday claims. When no document is attached, the paper holiday claim column appears as blank.

Address fields and history tab added to bank account section

We have added address fields to the bank account section under system configuration cog -> invoicing & payments. The fields added are address1, address2, town, county, postcode, and country.

We have also introduced the history tab to make audit history visible to the users.

Auto bill and auto pay feature for placements

We have introduced a new section auto bill/pay for edit placements under the invoicing tab.

If auto bill is selected, the system will automatically create a sales invoice on timesheet approval.

If auto pay is selected, the system will automatically create a purchase invoice when a timesheet is approved, provided the worker is an LTD contractor or an external contractor. For PAYE workers, the timesheet will be exported to InPay instead. Please note, this process does not apply to LTD or external contractors who are paid through InPay.

Enhancement Details

Ability to split users out of a gateway

We have introduced the ability to split up user accounts that were previously combined under a unified login gateway. You can do so using the new option separate users under gateway profiles. Email notifications are sent to users upon separation. The separated users regain their original usernames and individual login credentials. The original primary user cannot be separated while other users remain in the gateway. The gateway user account will be deleted only if all the secondary users are separated.

Improvements to RSM InTime multi-factor authentication (MFA)

We have added a new trust this device feature to RSM InTime MFA. By enabling this option, you can designate a device as trusted, reducing the need to enter MFA codes repeatedly on that device.

To activate this feature, select the trust this device checkbox on the login screen. Once enabled, you will not be prompted for MFA codes on the trusted device for 30 days.

Administrators can manage this feature in the trust device settings, found under the system configuration cog -> system security settings. Here, you can enable or disable the feature for various user types and manage trusted devices for your agency.

Performance improvements for the mismatched financial tags report

The mismatched financial tags report has been optimized for faster performance, particularly for agencies handling large volumes of data. These improvements are especially noticeable when working with extensive datasets.

When importing placements, this report helps identify data that needs to be aligned before the import process is completed. Previously, running the report on large datasets could require several minutes, causing delays in import workflows.

If the mismatched financial tags report is enabled for an agency, the improved version of the report is available by default. If you prefer to use the previous version, please contact support.

Improvements to margin report

We have added a new search filter - invoice exported date to the invoice date section under the date ranges tab of the margin reports. This filter enables users to search directly for invoices, such as client invoices, advice notes, and self-bills. Please note that PAYE invoices are excluded as they do not use the exported date.

Additionally, we have introduced two new columns, last purchase invoice exported date and last sales invoice exported date. These fields display the corresponding exported dates for sales and purchase invoices, provided the invoices have been exported.

Ability to itemize on-cost by sheet and description on invoices

You can now choose how on-costs are displayed on invoices with a new configuration option. We have introduced a new configuration invoicing.itemize.oncosts under system configuration cog -> invoicing & payments -> invoicing options. By default, this is set to no, meaning on-costs will be itemized only by description. If you select yes, on-costs will be itemized by both sheet and on-cost description.
