Managing absence requests
As a manager you may be giving the responsibility to authorise absences. Go to submitting an absence & viewing calendars to see how to action your own absence requests, and viewing the calendar.
Your homepage dashboards provide you with an overview of all your requests and their status. Any requests that require your approval will be shown in the top lefthand dashboard called my requests to approve.
You will see different symbols depending on the absence and a summary of what the absence type is, the name of the worker and the to and from date. Click on the request to open it.
Authorising an absence
When you click on an absence you will get the box appear below. The employee's name, dates of absence and any comments they have made will be greyed out. Depending on access and views set up, you may be able to see the entitlement details.
If you are authorising and wish to leave a comment you can. Click accept if you are happy for the employee to have that time. The workflow will disappear from your dashboard once it's been accepted.
If you have opened the absence in error you can close the box by clicking on the cross in the top righthand corner.
This is the same process for all absence types that require authorising.
Rejecting an absence
If you do not want to approve the absence you have 3 options:
Reject - This will simply close the absence and the employee will be notified via a system generated email with any comments you have added.
Pend - This simply means it will stay on your dashboard until you are ready. Depending on how the workflow is set up, you may get reminders sent to you via email.
Escalate - You may wish to send this on to your approver, the approver will receive a system generated email with any comments you have added.
