This area allows you enter all the personal details of your employee, when you click on personal you will see 5 additional tabs appear on the row below.

Some of these details can be updated by the employee themselves, you can have alerts come to you when an employee makes a change or allow the system to update automatically in real time. Please speak to support if you wish to change the configuration of this.

Details

Details

Any greyed-out fields are non-editable, these will automatically populate from other fields you fill out. In this screen you can see the age of the employee populates from the date of birth you have entered. The date of birth field can have an alert configured, providing an alert to users to the employees birthday. Go to alert configuration for further information.

Please note: you will need to enter a date of birth to allow your employees to login. The date of birth and NI number are used by the employee initially to login to MyHR and then create their own password, when they enter those details it must match what you have recorded within their record.

You can hover over a ? and this will give you a description of this field. As below the email address in this screen is a personal email address not the employee's work email address.

There are also fields that allow a dropdown list for selection, this is shown by a down arrow in the field. These lists can be built by admin users and added whenever there is a requirement to. For more information go to manage lookups. A list of lookups for this section can be seen at the bottom of this page.

When you have completed all the fields you wish to enter, you must click save. Once saved you will get a green success message at the bottom right of the screen.

Address

This screen will keep a history of all addresses. The current address will always show in the main screen, if you have entered the postcode incorrectly you can simply over key the postcode field and hit save. The record will be updated.

If you require a new address to be added, scroll to the bottom of the page and click new. This will create a brand new record for you to fill out. Once entered click save, and the new address record will be added to the history list.

Next of kin

To create a new record, scroll to the bottom of the screen and click create. A blank record will appear, once you have entered the details click save. Alternatively, you can highlight a record you wish to amend in the history list, this will bring up their record and you can change any details, once updated click save.

If a next of kin record is no longer relevant you can either; untick the active box, this will still leave the record on the system for you to update or make active again at any time. Or you can click delete and remove the record entirely.

Work permit

You have the ability to enter Work permits, right to remain and working visa details below. You can enter an expiry date, and a passport expiry date as well. We have also provided a notes section.

To create a new record scroll down and click create, once the details are entered hit save. If you wish to bring up an historical record, click on the item within the history list and this record will appear, you can then change details or delete the record.

Dependants

You have the option to hold all dependants within this area. To create a new record scroll down and click create, once the details are entered hit save. If you wish to bring up an historical record, click on the item within the history list and this record will appear, you can then change details or delete the record. There is no limit to the number of dependants that can be stored within People Manager.
